**Job Description - Procurement Officer**

**Department**: Administration / Finance
**Reports to**: Head of Healthcare / Management

**Job Purpose**

To manage and coordinate the procurement of medical supplies, hospital equipment, pharmaceuticals, and general services for Ohana Specialist Hospital. The role ensures that all purchases are cost-effective, timely, and compliant with healthcare regulations and hospital policies.

**Key Responsibilities**
- **Medical & Non-Medical Procurement**:

- Source and purchase medical supplies, hospital equipment, pharmaceuticals, and other operational items.
- Ensure all supplies meet medical safety and regulatory standards.
- **Supplier & Vendor Management**:

- Identify, evaluate, and maintain a reliable network of suppliers.
- Negotiate contracts and pricing to achieve cost savings.
- Monitor supplier performance to ensure quality and timely delivery.
- **Documentation & Compliance**:

- Prepare and maintain accurate records of purchase orders, quotations, invoices, and contracts.
- Ensure all procurement complies with hospital policies, budget guidelines, and regulatory requirements.
- **Inventory & Cost Control**:

- Work closely with the Pharmacy & Store department to monitor stock levels and avoid shortages.
- Track expenses and identify opportunities for cost optimization.
- **Collaboration & Support**:

- Liaise with various hospital departments (Pharmacy, Nursing, Maintenance, etc.) to understand procurement needs.
- Support hospital operations by ensuring timely delivery of essential items.
- **Continuous Improvement**:

- Recommend improvements in procurement processes for better efficiency.
- Stay updated with healthcare procurement trends and compliance requirements.

**Requirements**:

- Diploma/Degree in Supply Chain Management, Procurement, Business Administration, or related field.
- Minimum 2 years’ experience in procurement, preferably in healthcare or hospital setting.
- Knowledge of medical supplies, pharmaceuticals, and healthcare equipment procurement is an advantage.
- Strong negotiation, communication, and vendor management skills.
- Proficient in Microsoft Office; knowledge of ERP/procurement systems is a plus.
- Detail-oriented, highly organized, and able to manage multiple priorities.
