**Summary of Principal Job Responsibility**:
As a Building Executive for a strata property in Malaysia, your role will involve assisting the Building Manager in overseeing the day-to-day operations, maintenance, and administration of the property. You will play a vital role in ensuring the smooth functioning of the property, maintaining common areas, and providing efficient services to property owners and occupants. You will work closely with the Building Manager and collaborate with various stakeholders to ensure compliance with regulations and the satisfaction of property owners.
**Specific Job Duties and Responsibilities**:
Administrative Support:
- Assist in managing administrative tasks related to the property, including documentation, record-keeping, and correspondence.
- Prepare and distribute notices, circulars, and other communications to property owners and occupants as directed by the Building Manager.
- Maintain proper records of property owners, occupants, and key contacts for effective communication and reference.
- Assist in organizing and coordinating meetings, including the preparation of meeting agendas and minutes.
Property Maintenance and Operations:
- Conduct regular inspections of common areas, facilities, and systems to identify maintenance issues and ensure their prompt resolution.
- Coordinate and monitor maintenance and repair works carried out by external contractors or internal staff.
- Assist in implementing preventive maintenance programs and schedules to ensure the optimal functioning and longevity of property assets.
- Respond to property-related emergencies and incidents, and take appropriate actions to mitigate risks and minimize disruptions.
Financial and Billing Support:
- Assist in managing financial matters related to the property, including monitoring budget utilization and expenses.
- Support the collection of maintenance fees or service charges from property owners and maintain accurate records.
- Prepare financial reports and assist in budget planning and forecasting as directed by the Building Manager.
- Coordinate with relevant departments or external parties for the timely processing of invoices, payments, and financial transactions.
- To meet 80% collection on the billing each month
Stakeholder Relations:
- Serve as a point of contact for property owners and occupants, addressing their inquiries, requests, and concerns.
- Maintain positive relationships with property owners, fostering effective communication and providing timely updates.
- Collaborate with relevant committees, such as the Joint Management Body (JMB) or Management Corporation (MC), to address property-related issues and support decision-making.
- Coordinate with external stakeholders, including contractors, vendors, and authorities, to ensure smooth operations and compliance.
Compliance and Safety:
- Stay updated on relevant laws, regulations, and guidelines governing strata properties in Malaysia.
- Assist in ensuring compliance with legal, regulatory, and safety requirements, including fire safety, building codes, and environmental standards.
- Assist in coordinating inspections, audits, and certifications required by authorities.
- Support the implementation of security measures and protocols to safeguard the property and its occupants.
- Ensure all procedures are follows accordance to RACI and SOP set, if needed, implementation of new SOP.
- Undertake any other duties and responsibilities as assigned by management from time to time.

**Salary**: RM2,500.00 - RM3,000.00 per month
