Administrative and Operations Support

**Responsibilities**:
- To provide all kind of administrative support to Operations Department.
- To assist Operation manager or Senior Service Manager in planning, organizing and implementation of strategy to fulfill Company’s Objective.
- Responsible for logistic and resources planning, monitoring of services scheduling and overall Operations department deadlines.
- Adhere and comply with company’s ISO processes and ensure all activities and materials meet with relevant organizational and statutory policies, including health and safety, employment act and equality laws.
- To assist Operations Manager with the development and execution of service plan.
- To assist Operations Manager in providing for the departmental improvement and simplification of reporting requirement through analysis of data reported, analyses of the requirement and method for preparation of report and assuring that reporting requirements are met.
- To maintain key performance measures, learn, participate and execute continuous improvement efforts.
- To act as office administrators, overseeing all operations from answering phones to support Operations personnel / management.
- To ensure that an organization's offices have the supplies, documentation, and organization to function efficiently.
- To keep track and maintaining an appropriate filling system.
- To assist in providing for the requisition, purchase, storage and issuance of office supplies.
- To ensure proper inventory levels of all materials and equipment including, but not limited to personal protective equipment, tools, and chemicals using the stock requisition ordering system.
- Responsible for accurate processing of timesheet for claims, ensuring accuracy, correct financial cost and meeting deadline according to schedule.
- To update, compile and verify the number of head count of Supervisor and Service Crew daily attendance for every project.
- To check and compile attendance for any credit note require by client.
- To check and verify all Operations staffs claim before submit for approval.
- To support, guide and develop the skill of subordinate to build their competence and confidence in handling a range of situation, deliver and meet deadline for Operations department.
- To promote Safety and Health within the team and raise awareness of appropriate Safety and Health Regulations.
- To deliver the priorities, targets, goals, and ISO objectives set out in the strategic plans, align to the company’s core values, mission and vision statements.
- To assist and perform all ad-hoc assignment as and when assigned.
- Develop self, and maintain knowledge in relevant field at all times.
**Education Requirements**:
- Bachelor’s Degree or Diploma or Certificate in project management, hotel & hospitality or business administration & management discipline.
- Preferably with credit in Bahasa Malaysia, English & Mathematics.
- Minimum 3 years of working experience as Operations Support, Logistic Planning in a cleaning or Administrative Support in other service industry.
**Job Types**: Full-time, Permanent
**Salary**: RM3,500.00 - RM4,500.00 per month
Schedule:
- Monday to Friday
Ability to commute/relocate:
- Petaling Jaya: Reliably commute or planning to relocate before starting work (required)
**Education**:
- Diploma/Advanced Diploma (preferred)
**Experience**:
- Administration: 3 years (preferred)
- Operations Support: 1 year (preferred)
