**1. Daily Schedule Management**:
- Arrange and manage the Director’s daily schedule, including meetings, appointments, and travel arrangements.
- Ensure the schedule is well-organized, avoid time conflicts, and promptly remind the Director of important engagements.
**2. Meeting Arrangement and Coordination**:
- Schedule internal and external meetings, including booking meeting rooms, preparing agendas, and sending invitations.
- Coordinate attendees’ availability to ensure smooth meeting proceedings.
**3. Meeting Minutes and Follow-Up**:
- Take meeting minutes, compile meeting summaries, and distribute them to relevant parties.
- Follow up on action items from meetings to ensure tasks are completed on time.
**4. Project Follow-Up**:
- Assist the Director in tracking the progress of projects managed by various departments to ensure they are on schedule.
- Maintain communication with department heads and provide timely updates on project status and potential issues.
**5. Document and Correspondence Management**:
- Ensure proper filing and archiving of documents for easy retrieval.
**6. Government Department Communication**:
- Assist the Director in communication and coordination with government departments to ensure accurate and timely information exchange.
- Prepare and submit required documents and reports to comply with government regulations and requirements.
**Requirements**:
- **Education**: Minimum of a Bachelor’s Degree (Degree), with a preference for those with a background in secretarial studies.
- **Language Proficiency**: Fluent in Chinese, Malay and English, with excellent written and verbal communication skills.
- **Technical Skills**: Proficient in office software (e.g., Microsoft Office Suite), with strong organizational and time management abilities.
- **Experience**: Prior experience as a secretary or administrative assistant is preferred, with additional experience in government communication being an advantage.
- **Personal Attributes**: Detail-oriented, responsible, able to work under pressure, and possess strong problem-solving skills.
- 5 days work week, 8:30 a.m. to 5:30 p.m.
- 14 days Public Holiday
- 12 days Annual Leave
**Job Types**: Full-time, Permanent
Pay: RM5,000.00 - RM7,500.00 per month
