**Position Overview**:The Project Coordinator supports the project team by managing documentation, conducting research, and providing essential administrative assistance. A key aspect of this role involves overseeing procurement records and ensuring timely submission of vendor invoices.

**Goals**:

- **Efficient Documentation Management**: Maintain accurate and organized project records to facilitate documents are submitted and processed promptly to support financial accuracy.
- **Support**: Provide thorough research and other supports to inform project decisions and strategies.

**Roles & Responsibilities**:

- **Documentation Management**:

- Prepare, organize, and maintain project documentation, including contracts, reports, and correspondence.
- Ensure all project files are up-to-date and accessible to team members.
- **Research Support**:

- Conduct research to gather relevant data and insights that support project planning and execution.
- Compile and present research findings to assist in decision-making processes.
- **Procurement and Invoice Management**:

- Document all purchases related to the project, ensuring accuracy and compliance with procurement policies.
- Monitor and follow up with vendors to ensure invoices are submitted on time.
- Coordinate with the finance department to process vendor invoices promptly.
- **Administrative Support**:

- Assist the project team with scheduling meetings, preparing agendas, and recording minutes.
- Coordinate communication among project stakeholders to ensure alignment and clarity.
- **Quality Assurance**:

- Review project documents and deliverables for accuracy and completeness.
- Ensure adherence to project timelines and escalate any delays or issues to the project manager.

**Requirements**:

- **Education**: Bachelor’s degree in Business Administration, Project Management, or a related field.
- **Experience**: Minimum of 2 years in a project coordination or administrative role, preferably within a similar industry.
- **Skills**:

- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and project management software.
- Attention to detail and a high degree of accuracy.
- Ability to work independently and collaboratively within a team.
- **Knowledge**: Familiarity with procurement processes and vendor management is advantageous.
- **Technological Proficiency**: Experience with AI tools and a demonstrated ability to adapt to new technologies quickly.
- **Agility**: Capacity to think and work swiftly in a dynamic environment.

**Performance Metrics (Scorecard)**:

- **Documentation Accuracy**: Percentage of project documents maintained without errors.
- **Invoice Processing Time**: Average time taken to process vendor invoices from receipt to payment.
- **Stakeholder Feedback**: Satisfaction ratings from team members regarding support and communication.
- **Research Quality**: Relevance and usefulness of research provided to the project team.
- **Adherence to Deadlines**: Ability to complete assigned tasks within established timeframes.

**Job Types**: Full-time, Permanent

Pay: RM2,000.00 - RM2,500.00 per month
