**Responsibilities**:
1. Document Management
- Record, track, and maintain all project documents.
- Ensure documents are properly named, distributed, and stored.
- Maintain document control registers and logs.
- Generate reports and data summaries as needed.
- Monitor and manage version control of documents to avoid confusion or miscommunication.
- Keep a record of all document revisions and approvals.
2. Document Distribution
- Distribute documents to relevant departments or individuals as required.
- Ensure that only the latest versions of documents are in circulation.
3. Filing and Archiving
- Set up and maintain filing systems (physical and digital).
- Archive old or superseded documents securely.
4. Support and Communication
- Liaise with team members, project managers, and external parties for document-related issues.
- Provide access to documents when requested.
5. Cost Data Entry
- Key in monthly costs into the SRM system accurately and on time.
- Ensure all financial entries are consistent with project budgets and accounting standards.
6. Project Registration
- Register newly awarded projects in the system.
- Update project details, including budgets, milestones, and relevant data.
7. Data Validation and Accuracy
- Cross-check all keyed-in data to maintain accuracy and compliance.
- Resolve discrepancies in cost or project data promptly.
8. Reporting
- Generate monthly cost and project status reports for management review.
- Provide data insights to support budgeting and forecasting.
9. System Updates
- Maintain and update project and cost records in the system as required.
- Ensure all data entries align with the company’s financial and operational standards.
10. Coordination
- Work closely with the finance and project management teams to ensure smooth data flow.
- Communicate any delays or issues related to cost entry or project registration.
11. Compliance and Confidentiality
- Adhere to company policies and ensure the confidentiality of documents.
- Support audits by providing accurate system data when required.
**Job Requirements**:
- Relevant diploma or degree in Records & Office Management, Information Management, Business Administration or equivalent.
- Minimum 5 years of experience as Document Controller or in a similar technical support role in cost control and procurement related field in construction industry.
- Familiar with range of proprietary software including MS Office, SAP, Adobe & Autodesk.
- Self-motivated, enthusiastic and committed to work.
- Good working attitude, reliable, organize, and attention to details.
- Excellent communication, inter-personal and problem-solving skills.
- Fluent in English and Bahasa Malaysia.
- Ability to work independently and as part of a team to meet documents submittal deadlines and objectives.

Contract length: 6 months
Pay: RM4,000.00 - RM5,000.00 per month
