**Roles and Responsibilities**

**Tender Advertisement Registration.**
- Check two (2) major newspapers and online (ePerolehan, tender direct, defined customer website) for tender ads.
- Capture in Tender Strategy (TEST) - pertinent info; start date purchase, tender briefing/site visit, supporting docs required to purchase/attend briefing (if any).
- Send briefing/site visit invite and follow up.
- Follow up with the AM and their manager diligently on tender pending for decisions (Buy/No Buy or Go/No Go).
- The decision is made 2 working days from the tender alert date for Buy/No Buy, 2 working days from tender received date for Go/No Go; or as stated in the tender execution plan.

**Tender collection.**
- Collection/registration online must be done.
- Working days (48 hours) - Klang Valley area.
- Working days (96 hours) - Outside Klang Valley.

**Proposal Management - Tender Preparation.**
- Read tender/sebut harga document and draft table of contents (TOC) - share in the PL for finalizing.
- Prepare Physical folder
- BC portion; pretender info, supporting docs
- Folder cover, cd cover, box label, index divider
- CTC if required; Company Secretary, Bank Officer, Commission of Oath
- (COO), Top Management
- Input
- Formatting
- Printing
- Consolidate
- Make copies if any, burn softcopy into CD - ensure naming of files/softcopy is standard, no company name/identity.

**Service Centre - Other Than Tender**
- inventory management
- Petty cash management and reimbursement

**Requirements**:

- Diploma or Degree in Business Administration or related field.
- At least 1 year of experience in admin or tender-related work is an advantage.
- Able to check newspapers and websites for tender ads.
- Know how to prepare tender documents and folders (physical and softcopy).
- Able to coordinate meetings and follow up with internal teams.
- Understand basic inventory and petty cash handling.
- Good communication skills in English and Bahasa Malaysia.
- Detail-oriented and organized.
- Able to manage time and work under pressure.
- Familiar with Microsoft Office (Word, Excel, PowerPoint).
- Comfortable with online tender platforms (ePerolehan, TenderDirect, etc.) - training can be provided.
