**Job Summary**:
The Special Project Executive provides vital support in managing and executing strategic projects. This role involves administrative, organizational, and communication tasks to ensure the smooth operation of the Special Project team. The Assistant will help coordinate project activities, maintain schedules, prepare documentation, and facilitate communication between stakeholders, ensuring that deadlines are met and objectives are achieved efficiently.

**1. Administrative Support**:

- Manage calendars, schedule meetings, and coordinate logistics for project-related events.
- Prepare and organize meeting agendas, taking minutes, and following up on action items.
- Assist with drafting and editing reports, presentations, and other project-related documents.
- Handle confidential information with discretion, maintaining the privacy of strategic discussions and documents.

**2. Project Coordination**:

- Assist in creating and maintaining project plans, timelines, and budgets under the direction of the Superior.
- Monitor project progress, ensuring milestones are met and deadlines are adhered to.
- Communicate with cross-functional teams and external partners to track the status of deliverables.
- Help prepare project-related materials for internal and external presentations or meetings.

**3. Communication & Stakeholder Management**:

- Serve as a liaison between the Superior and internal teams, clients, and external stakeholders.
- Help draft and distribute internal and external communications, ensuring clarity and consistency.
- Assist in coordinating feedback sessions, reviews, and approvals for project deliverables.

**4. Document Management**:

- Maintain an organized filing system for project documents, reports, and correspondence.
- Ensure that all project documentation is accurate, up-to-date, and easily accessible.
- Assist with compiling data and preparing reports on project status and outcomes.

**5. Team Support**:

- Support the Superior and the project team with day-to-day operations.
- Assist in organizing team meetings, team-building activities, and other relevant events.
- Help ensure that all team members have the resources and information needed to perform their roles effectively.

**6. Process Improvement & Innovation**:

- Demonstrate an interest in Lean methodologies and process improvement strategies.
- Suggest improvements to internal processes and systems to improve efficiency and effectiveness.
- Assist in evaluating project performance and offer ideas for enhancing workflow and productivity.

**7. Other Duties**:

- Provide general administrative assistance and ad-hoc support as requested by the Superior.
- Assist in other special projects or initiatives as required.

**Job Qualification**
- Bachelor's Degree in relevant engineering fields.
- Minimum of 1-2 years of experience in project management, process improvement, or a similar role in the manufacturing industry.
- Experience with ERP systems, process automation tools, or project management software. Six Sigma or Lean certification is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to work collaboratively in a team-oriented environment.
- Quick learner with the ability to adapt to new tasks and technologies.
- Ability to work independently and manage multiple tasks simultaneously.

**Job Types**: Full-time, Permanent

Pay: RM2,800.00 - RM4,000.00 per month
