Our Singapore office is seeking an experienced Event Operations Executive (Client Experience Specialist) to help support our event sponsorship needs within the operations group. This role includes handling clients and operational requirements.
This is an excellent opportunity for someone with polished customer service skills and previous experience working in the events industry in an operational capacity.
- Handling sponsors’ liaison and management of event requirements and logistics for conferences, breakfast Insight and training programs
- Liaise with sponsors in the run up to the conference, making them feel confident that they are in a safe pair of hands and provide outstanding customer service throughout to ensure our clients return year on year
- You will have to keep excellent control and well-organised records of sponsors' details - admin and project management work is crucial for this role
- Managing the events budget and ensuring all budgets are properly filed and recorded
- Work with the Marketing, Sales, and Sponsorship teams to ensure that every part of every sponsorship contract has been fulfilled, even where it affects or crosses other departments.
- Liaise with external providers, including venues, contractors, suppliers, etc., obtaining quotes, negotiating costs, selecting the provider and managing the ongoing relationship
- Work with designers to develop the design for banners, backdrop, etc.
- Pre-show and on-site exhibitor/sponsor liaison and support
- On-site management of all logistics and ensuring everything runs smoothly
- Manage reporting for a client for the digital platform
- Ensuring the sponsors’ logo and profile are uploaded on the website
- Support office admin work
- Manage ad-hoc projects
**Requirements / Preferred Qualifications**
- Knowledge of Operations best practice - Conferences and Exhibitions are a plus
- Strong knowledge of Microsoft Office
- Sound commercial awareness - managing budgets, and keeping within the set budget, including contract management
- Customer service experience
- Ability to multi-task under pressure whilst maintaining accuracy and Efficiency
- Excellent time-management skills
- A ‘can-do’ attitude, is a team player with initiatives
- Good negotiation skills and Strong work ethics
- Willing to travel and put in the extra hours
- Good writing skills and phone mannerism
