***:
- Serve as the primary support to the Group Managing Director by managing daily schedules, communications, and high-level administrative functions.
- Act as a central liaison between the GMD and internal departments, external stakeholders, and business partners to ensure smooth and timely communication.
- Coordinate meetings, travel, and events to support the GMD’s business priorities and strategic initiatives.
- Handle confidential and sensitive information with professionalism, integrity, and discretion.
- Assist in the preparation of reports, presentations, and strategic documents to support executive decision-making.
- Ensure timely follow-up and tracking of delegated tasks and responsibilities across the organization.
- Facilitate the efficient operation of the GMD’s office, ensuring all administrative and operational tasks are completed with accuracy and urgency.
**RESPONSIBILITIES**:
- Oversee and manage the Managing Director’s (MD) calendar, including scheduling appointments, meetings, and engagements.
- Prepare and organize reports, presentations, documents, and briefing materials for the MD.
- Maintain both physical and digital filing systems to ensure accurate, organized, and up-to-date records.
- Record and transcribe minutes from executive meetings, ensuring timely follow-up on action items.
- Serve as the primary liaison for internal and external communication on behalf of the Group Managing Director (GMD).
- Draft, edit, and manage professional correspondence on the GMD’s behalf.
- Manage logístical arrangements for meetings and events involving the GMD, such as board meetings and press conferences.
- Handle highly confidential and sensitive information with integrity and professionalism.
- Discreetly manage business and personnel matters on behalf of the GMD.
- Act as a point of coordination between the GMD and senior leadership or departmental teams.
- Communicate and liaise with external parties, including vendors, clients, and strategic partners.
- Provide general administrative support to the office, as required.
- Assist the GMD in gathering research, compiling data, and preparing strategic proposals or reports.
- Monitor delegated assignments and ensure timely progress and completion.
**QUALIFICATIONS**:
- Qualification Required: Bachelor’s degree in business administration, Secretarial Studies, or a related field.
- Industrial Background Preferred: experience as an executive or personal assistant (preferably to senior leadership).
- Required skill(s): Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and digital communication tools.
- Excellent written and verbal communication skills in English & Bahasa Malaysia
- Strong organizational and multitasking abilities.
- High degree of professionalism and ability to maintain confidentiality.
- Time management skills and flexibility to handle urgent tasks.
**Job Type**: Permanent
Pay: RM3,500.00 - RM4,500.00 per month
