Business Admin Coordinator

**Job Purpose**:
- Providing administrative support to HoR, HoZ and all employees in their respective regions. The RBA is also responsible to support the regional spare coordinator and key center to ensure continuous spare and key center availability.
**Accountabilities / Responsibilities**:
**1. Administration Related (30%)**:
- To provide administrative secretarial support (e.g. meeting room booking/projector, maintaining stationary stock, etc.) to Head of Region/Zone Heads and all employees within the region as and when required.
- To maintain and ensure proper tracking of staff leave, medical leave, special paid leave, etc.
- To manage/compile/coordinate departmental documents for distribution (incoming & outgoing correspondences, etc.)
- To update and record FLM Staff Movement - prepare a log book on staff attendance.
- Prepare and submit all Travelling, Accommodation and Staff Claim Costing monthly to all HOD
- Coordinate company requirements against FLM and Technical Services staff on any matters related to HR, IT and Admin. This includes all customer specific IT/account required.
- Attending and coordinate meetings for FLM and Technical Services and actively co-ordinate any engagement activities.
- To manage, track and record company vehicle millage and fuel utilization.
- To manage, track and record staff mobile line usage
- To manage, track and record all supporting eHS requirement including but not limited to safety signage, first aid kit, fire extinguisher and CCTV. To highlight to relevant team upon any repair/replacement needed.
- To manage and put on request for office requirement such as stationaries, repair works etc.
- To assist Safety committee at region to record all safety or incident events and report.
- To track and ensure completion of monthly timesheet submission by all regional team members. To prepare monthly productivity report based on the produced timesheet.
- To support regional spare coordinator in terms of managing all spares or consumables under Onsite inventory to ensure continous availability.
- To support regional key center to ensure continous availability of key collection center in the region. To track all key movements.
**2. Reports (10%)**:
Compiling reports on:
- Company Vehicles “Monthly Mileage Report”.
- Monthly team timesheet
- PPE status
- Staff training record
- First aid kit, and car fire extinguisher
- Vehicle mileage and fuel usage
- Key collection & returning
