**JOB RESPONSIBILITIES**:

- Prepare purchase orders (PO) and obtain necessary approvals before issuance.
- Request quotations and compare prices, specifications, and delivery terms from suppliers.
- Maintain and update supplier databases, records, and documentation.
- Communicate with vendors regarding order status, delivery schedules, and issues.
- Follow up on deliveries to ensure timely arrival of goods and materials.
- Assist in evaluating supplier performance (price, quality, service).
- Monitor stock levels and coordinate with the warehouse to maintain optimal inventory.
- Verify delivery notes, invoices, and match them against purchase orders.
- Prepare monthly purchase reports and maintain accurate filing systems for audit purposes.
- Support the purchasing team in tender preparation and contract renewal processes.
- Handle petty cash or small procurement requests if required.
- Liaise with internal departments (Accounts, Production, Maintenance, etc.) for purchase requests.
- Ensure all procurement activities follow company policies and ISO procedures.
- Assist in maintaining supplier compliance with company standards and regulatory requirements.

**JOB REQUIREMENTS**:

- SPM/Diploma or Degree in Business Administration, Supply Chain Management, or related field.
- Minimum 1-2 years of working experience in purchasing or administrative support.
- Basic knowledge of purchasing procedures and inventory systems.
- Good communication and negotiation skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Detail-oriented, organized, and able to work independently.
- Fluent in English and Bahasa Malaysia (Mandarin is an added advantage).
