**Job Summary**:
The Operation Executive (Western Division) is responsible for coordinating, planning, and managing outbound travel arrangements to Western destinations (Europe, UK, USA, etc.). The role requires close communication with overseas suppliers, tour leaders, and internal sales teams to ensure smooth operations of group tours and FIT (Free Independent Traveller) packages.
**Key Responsibilities**:
- Handle all operational matters for outbound tours to Western destinations (Europe/USA/UK).
- Coordinate with overseas suppliers (hotels, airlines, tour operators, transportation, attractions, etc.) to secure competitive rates and ensure service quality.
- Manage group series departures and FIT bookings, ensuring all arrangements are accurate and on schedule.
- Prepare travel itineraries, confirmation orders, and operational documents for group departures.
- Liaise with airlines for group seat reservations, ticket issuance, and schedule changes.
- Coordinate with the sales team to provide updated product information, tour availability, and special promotions.
- Monitor tour confirmations, supplier invoices, and ensure all costs are within budget.
- Provide pre-departure briefings and support to tour leaders and customers.
- Handle customer special requests (meals, rooming, medical needs, etc.) and communicate them to suppliers.
- Ensure accuracy of visa information and coordinate with consulates/agents when necessary.
- Track competitor products and market trends to support product development for the Western Division.
- Assist in resolving service issues, customer complaints, or emergencies during travel.
- Prepare operation reports, departure checklists, and feedback summaries for management review.
- Ensure timely payments to overseas suppliers and accurate record-keeping of all transactions.
- Coordinate travel insurance arrangements and other add-on services for clients.
- Work with the marketing team to provide accurate itinerary details, brochures, and promotional content.
- Maintain strong relationships with key suppliers and industry partners in Western destinations.
- Assist in contract negotiations with overseas operators and service providers.
- Support product training and briefings for the sales team regarding Western tour packages.
- Continuously improve operational processes to increase efficiency and enhance customer satisfaction.
**Job Requirements**:
- Diploma/Degree in Tourism Management, Business, or related field.
- Minimum 2 years’ experience in outbound travel operations (Western destinations preferred).
- Good command of English (written & spoken) to liaise with European/American suppliers.
- Strong organizational and problem-solving skills.
- Proficient in Microsoft Office and travel management systems.
- Ability to work under pressure, meet deadlines, and handle multiple tasks simultaneously.
- Customer-oriented with excellent communication skills.
- Willing to work flexible hours during peak travel seasons.
Pay: RM3,000.00 - RM4,000.00 per month
