As an Assistant Manager - Quantity Surveyor in an interior design company typically covers a variety of responsibilities centered around cost management, project budgeting, and efficient resource allocation. These will all translate towards you delivering a truly client-centric solution for multinational and local companies across Southeast Asia.
**Your Key Responsibilities**
- Prepare preliminary cost estimates based on design concepts and specifications and analyze potential projects for cost-effectiveness and viability.
- Bill of Quantities (BOQ): Prepare detailed BOQs outlining materials, quantities, labor, and services required.
- Tendering Process: Assist in preparing tender documents, analyzing tender submissions, and supporting bid evaluation.
- Negotiate pricing and contract terms with suppliers and subcontractors, while setting project budgets based on detailed assessments to align with design and project requirements.
- Monitor project expenditures against the budget, manage variations, identify potential cost savings, and prepare cost and budget reports, highlighting variances and forecast adjustments for project managers and clients.
- Vendor Management: Evaluate suppliers and subcontractors for quality and cost-effectiveness, ensuring they meet project requirements.
- The Assistant Manager oversees multiple projects, ensuring that cost management practices and procurement processes are aligned across all team projects.
- Contract Administration: Manage and administer contracts with clients, vendors and subcontractors, overseeing terms, compliance, and delivery timelines.
- Identify potential risks related to project costs and timelines, propose mitigation strategies, and ensure cost management practices comply with industry standards, safety regulations, and company policies.
- Variation Assessment: Analyze and assess project variations and advise on cost impacts to clients and management.
- Final Account Preparation: Prepare final account statements for projects, reconciling costs against the initial budget and settling any outstanding payments.
- Complete project closure documentation, including cost reconciliations and post-project analysis, while keeping clients updated on budget progress, financial projections, and any cost changes.
- Cross-Functional Coordination: Work closely with design, project management, and procurement teams to ensure cohesive project delivery. Manage any disputes or issues that may arise with suppliers, subcontractors, or clients, ensuring resolutions that maintain project timelines and budgets.
- Gather and incorporate feedback from clients and stakeholders to improve cost management processes, while analyzing completed projects to identify trends, cost patterns, and potential cost-saving opportunities.
- Process Optimization: Lead initiatives to improve team efficiency, accuracy, and cost management practices by refining workflows, templates, and reporting systems.
- Benchmarking: Use industry data and previous project insights to set realistic and competitive budget benchmarks.
- Lead and mentor the quantity surveying team, fostering a collaborative and supportive work environment to ensure high-quality performance and growth.
**What you'll need to succeed**
- Bachelor’s degree in quantity surveying, Construction Management, Civil Engineering, or a related field.
- Knowledge of interior design, architecture, or building technology is a plus.
- 5 to 7 years of experience in quantity surveying, particularly within the interior design, construction, or architectural sectors.
- Demonstrated experience in cost estimation, budgeting, and contract management.
- Experience with projects in both commercial and hospitality interiors is beneficial.
- Familiarity with QS software, AutoCAD, Revit, or other design software for understanding project specifications and requirements.
- Strong command of Microsoft Excel and other tools for cost analysis and reporting.
- Knowledge of construction and interior fit-out materials, methods, and market pricing.
- Possesses strong analytical skills to interpret designs and specifications accurately, with keen attention to detail ensuring precision in measurements, BOQs, and cost documentation.
- Negotiation Skills: Effective in negotiating with suppliers, vendors, and subcontractors to secure the best terms.
- Demonstrates excellent communication and interpersonal skills to collaborate with clients, project teams, and stakeholders, while effectively managing multiple projects, prioritizing tasks, and meeting deadlines.
- Ability to work well in a team environment and across different departments (design, business development and project management).
- Problem-solving mindset with a proactive approach to managing risks and optimizing costs.
- High standards of ethics and integrity, especially in handling project finances and contract terms.
- Willingness to occasionally travel to project sites within Malaysia.
