1. Product Photoshoot Coordination Manage and monitor key performance indicators (KPIs) for all photo shooting activities to ensure timely execution. Assist the Administrative Executive in checking and tallying samples upon arrival, unpacking, and arranging them for the photoshoot. Provide on-site support to the photographer during photo sessions. Repack samples after the shoot, return them to the warehouse, and ensure the training room is restored to its original condition.
2. Reporting & Analysis Prepare sell-through reports to provide valuable insights for the Design Team’s decision-making process.
3. Sample Management Coordinate the preparation of samples for photoshoots and internal reference purposes. Ensure all samples are returned promptly and in good condition after use.
4. KPI Compilation & Reporting Assist in preparing KPI reports for the Design Department, including updates from the following teams: Product Developer Team, Packaging Designer Team, Product Designer Team, Admin Team
5. Trademark Monitoring
- Track and report the status of trademark registration processes to the relevant superior in a timely manner.
6. Travel Arrangements
- Research and propose suitable flight and hotel options for the Product Development, Product Design, and Packaging Design teams. Coordinate bookings upon approval.
7. Administrative Support
- Perform general administrative tasks such as sample requests, courier coordination, and bookkeeping.
8. Documentation & Filing
- Maintain a well-organized, up-to-date, and easily accessible filing system.
9. Team Assistance
- Provide daily operational support to superiors and assist with any ad-hoc tasks as required
**Job Requirements - Administrative Assistant**
- Diploma in Business Administration or any related field.
- At least 1-2 years of working experience in admin support.
- Good at organizing tasks and managing time well.
- Able to work with different teams and communicate clearly.
- Comfortable using Microsoft Excel, Word, and PowerPoint.
- Able to handle multiple tasks and pay attention to details.
- Proactive, responsible, and able to work both independently and in a team.
- Can be trusted to handle confidential information.
- Preferably mandarin speaker
Pay: RM2,500.00 - RM2,800.00 per month
