**Job Description - Special Officer**
**Strategic Executive Support & Coordination**
1. Manage and prioritize the CEO’s calendar
2. Schedule and coordinate meetings with internal and external stakeholders. Take detailed notes during meetings and follow up on action items as required.
3. Help communicate the CEO’s ideas and instructions clearly to the team
4. Follow up on key items and ensure important tasks move forward
5. Anticipate needs and make day-to-day decisions to keep things running smoothly
6. Serve as a primary point of contact between the CEO’s office and internal/external stakeholders.
7. Facilitate effective communication, ensuring that messages are conveyed accurately and in a timely manner.
**Confidentiality and Discretion**:
1. Handle sensitive information with the utmost confidentiality and discretion.
2. Ensure compliance with all company policies and procedures regarding data security and confidentiality.
**Administrative Support**:
1. Provide general administrative support to the CEO as needed, including managing correspondence, travel arrangements, and expense reports.
2. Assist in the preparation of reports, summaries, and other documents.
3. Any other duties as assigned by Management
**Requirement**
- Minimum Degree in Administration/Management or equivalent.
- 3-5 years’ experience as Special Officer/Personal Assistant or in relevant field
- Excellent writing, editing, proofreading and verbal communication skills.
- Strong organizational, time-management skills and the ability to manage multiple tasks simultaneously
- Proficiency in Microsoft Office Suite, particularly PowerPoint, Word, and Excel.
- Ability to work independently and as part of a team.
- High level of professionalism and ability to maintain confidentiality.
- Strong analytical and problem-solving skills.
- Attention to detail and a commitment to quality.
- Discretion and the ability to maintain confidentiality
- Professional, tactful and diplomatic when dealing with internal and external stakeholder
- Strong time management skill and able to work under tight deadline and handle ad-hoc task and changes
Pay: RM6,000.00 - RM8,000.00 per month
