About the Role: 

We are seeking a proactive Office Manager to be the operational backbone of our dynamic team. This is a critical, dual-focused role where you won't just manage the office—you'll own the essential systems and infrastructure that keep our team productive and connected. Responsibilities:

  1. Operational & Workplace Leadership:This is about creating an environment where our team can do their best work without friction.

  2. Pioneering Seamless Operations: Act as the primary administrative authority, overseeing all daily functions and ensuring the office runs with precision and efficiency.

  3. Vendor Ecosystem Management: Own the relationship lifecycle for all operational vendors, including purchasing, inventory management, service contracts, maintenance, and courier services.

  4. Culture & Support Champion: Coordinate critical logistical support for internal events, meetings, and travel, fostering a positive and energized workplace culture.

  5. Lifecycle Management: Facilitate smooth and welcoming onboarding and offboarding procedures, ensuring all physical and digital access is managed promptly and accurately.

  6. Technology & Systems Enablement: This focuses on maintaining the core technical tools and connectivity that power our organization.

  7. Hardware Deployment Expert: Take full ownership of setting up, configuring, and deploying new laptops, monitors, and peripherals for all employees, ensuring a best-in-class out-of-box experience.

  8. First-Line Problem Solver: Be the initial point of contact for technical troubleshooting, diagnosing issues related to hardware, core software, network connectivity (Wi-Fi/VPN), and office peripherals (e.g., photocopiers).

  9. Collaboration System Gatekeeper: Manage user accounts, permissions, and access rights within our crucial company collaboration software (e.g., M365, internal platforms).

  10. Vendor Liaison: Coordinate and escalate advanced technical issues with external IT partners, ensuring quick resolution and effective system maintenance.

  11. Documentation, Reporting, & Asset Integrity:

  12. Master of Records: Maintain meticulously accurate and up-to-date documentation for all IT assets (with robust tagging and tracking), software licenses, and user access logs.

  13. Knowledge Base Builder: Develop and continuously refine internal knowledge resources, including IT setup guides, administrative procedures, and comprehensive onboarding checklists.

Requirements:

  • Experience: 2–4 years of demonstrated success in a hands-on administrative and/or IT support role.

  • Technical Proficiency: Hands-on experience with equipment setup and strong troubleshooting skills, particularly in managing and maintaining the M365 environment and related hardware.

  • Core Skills: Strong attention to detail, proven problem-solving capabilities, and the ability to effectively manage multiple priorities simultaneously (multitasking).

  • Independence: Highly capable of working autonomously, taking full ownership of your domain, and effectively supporting multiple internal stakeholders across the business.

  • Foundational Knowledge: Familiarity with basic network concepts (Wi-Fi configurations, VPN connectivity).

  • Education: Bachelor's degree in Business Administration, Information Technology, or equivalent practical experience.
