Purchasing Admin Executive (Logistics) – Hotel Industry

Job Description

We are looking for a detail-oriented Purchasing Admin Executive with logistics experience to support our hotel operations. This role involves managing purchasing documentation, coordinating with suppliers, and handling logistics arrangements to ensure smooth and timely delivery of goods for our hotels.

Key Responsibilities

  • Handle day-to-day purchasing administrative tasks including Purchase Orders (PO), delivery orders, and invoices
  • Source, liaise, and negotiate with suppliers for hotel-related items (FF&E, amenities, consumables, maintenance supplies, etc.)
  • Coordinate logistics arrangements, delivery schedules, and follow up on shipment status
  • Monitor inventory levels and ensure timely replenishment of stock
  • Ensure all purchasing activities comply with company policies and procedures
  • Maintain proper records of purchases, contracts, pricing, and supplier details
  • Coordinate with internal departments such as operations, finance, and hotel management teams
  • Resolve delivery discrepancies, shortages, or damaged goods with suppliers
  • Assist in cost control and vendor performance evaluation

Requirements

  • Diploma or Degree in Business Administration, Supply Chain, Logistics, or related field
  • Proficiency in English, Malay and Mandarin (added advantage).
  • Minimum 1 year of experience in purchasing and logistics, preferably in the hotel or hospitality industry
  • Familiar with procurement processes, logistics coordination, and inventory control
  • Proficient in MS Office (Excel, Word) and purchasing systems
  • Strong organizational skills with attention to detail
  • Good communication and negotiation skills
  • Able to work independently and meet deadlines

Added Advantage

  • Experience in hotel purchasing or hospitality-related operations
  • Knowledge of local suppliers and logistics service providers
