Junior Executive

Key Responsibilities:

Office & Administrative Operations

  • Oversee the day-to-day administrative and office operations to ensure smooth and efficient workflow.
  • Provide administrative support to management and staff, including handling correspondence, preparing documents, and scheduling meetings.
  • Manage communication channels, including phone calls, emails, and general enquiries.
  • Maintain proper filing systems (physical and digital), ensuring accurate record retention, confidentiality, and compliance with company policies.
  • Manage office supplies and coordinate procurement to ensure uninterrupted operations.
  • Coordinate with building management and vendors for office maintenance, repairs, and related services.
  • Ensure a safe, clean, and well-organized office environment.
  • Prepare regular office operations reports and highlight areas for process improvement.
  • Establish, implement, and periodically review office policies and procedures to enhance efficiency and internal control.

Billing, Invoicing & Accounts Support

  • Prepare, issue, and track client invoices in a timely and accurate manner.
  • Prepare and manage Statements of Account (SOA) for clients.
  • Maintain accurate billing records and ensure proper documentation.
  • Liaise with internal teams to ensure billing accuracy and alignment with contracts or agreed pricing.

Requirements:

  • Diploma / Degree in Business Administration, Accounting, or related fields.
  • Prior experience in administrative, office operations, or billing support roles.
  • Strong attention to detail, organizational and communication skills.
  • Familiarity with invoicing systems, accounting software, or ERP systems is an advantage.
