Job Description – Finance, HR & Admin Manager

Position Title : Finance, HR & Admin Manager

Reporting to : General Manager

Team : 1 Finance Executive and 1 HR/Admin Support

The Finance, HR & Admin Manager is responsible for overseeing all financial functions, people operations, and administrative matters to ensure smooth company operations and compliance with internal and statutory requirements.

Finance Responsibilities

  1. Review and analyze monthly financial results, variances, and performance trends.

  2. Coordinate and lead the annual budget and forecasting process, including preparation of supporting financial models.

  3. Ensure smooth month-end closing, timely payments and accurate financial reporting.

  4. Prepare Profit and Loss, Balance Sheet, Cash Flow and management accounts with support from the Finance executive.

  5. Maintain and review key control accounts and intercompany balances to ensure accuracy and completeness.

  6. Conduct reconciliation checks and perform in-depth financial analysis to support business decisions.

  7. Establish and maintain financial policies, procedures, and internal records.

  8. Manage year-end audit preparation and support external auditors to ensure timely completion.

  9. Oversee tax compliance, transfer pricing documentation, and related statutory matters.

  10. Manage cash flow planning, working capital requirements, treasure matters and banking relationship.

  11. Lead and supervise the finance team, including delegation of daily tasks, review of work quality, issue resolution and staff coaching.

  12. Handle ad-hoc financial tasks, analysis, and reporting as required.

Human Resources (HR) Responsibilities

  1. Supervise and review monthly payroll processing to ensure accuracy, confidentiality, and statutory compliance.

  2. Oversee maintenance of employee records, HR documentation, and statutory contributions.

  3. Review employee leave entitlement and verify monthly leave tracker updates prepared by subordinates.

  4. Support recruitment activities including job postings, screening, interviews, and onboarding.

  5. Manage employee relations matters and address staff queries.

  6. Support HR initiatives such as training, employee engagement, and welfare programs.

  7. Review and update HR policies to ensure compliance with corporate guidelines and labor laws.

  8. Ensure secure handling and confidentiality of all employee data.

  9. Handle ad-hoc HR tasks as required.

Admin Responsibilities

  1. Oversee general office administration including facility management, office assets, and daily operations.

  2. Approve monthly pantry and stationery purchases within the approval monthly budget.

  3. Manage office vendors, service providers, maintenance contractors, and contract renewals.

  4. Ensure workplace safety, hygiene, and compliance with office operational standards.

  5. Supervise admin support staff to ensure efficient daily workflow.

  6. Perform any other administrative duties or ad-hoc task assigned.

Requirement

  1. Degree in Accounting/ Finance or a professional qualification (CPA/ACCA/CIMA)

  2. Minimum 10 years of relevant accounting experience with managerial responsibilities.

  3. Big 4 audit experience is advantage.

  4. Strong technical knowledge of accounting standards, tax regulations, and compliance requirements.

  5. Strong analytical skills, attention to detail and ability to work under tight deadlines.

  6. High level of integrity responsibility and confidentiality.

  7. Strong communication skills in English, both written and spoken.

  8. Experience managing HR and admin functions is an added advantage.

  9. Salary Range : RM12,000 – RM15,000

Job Type: Full-time

Pay: RM12, RM15,000.00 per month
