About the Role

We are seeking a meticulous and driven Senior Patent Executive to join our client's dynamic IP firm. This role involves handling end-to-end patent matters — from filing and prosecution to maintenance and client advisory — ensuring that clients' innovations are well protected under Malaysian and international patent systems.

1. Patent Filing and Prosecution

  • Manage the end-to-end process of local and international patent filings, including preparing, reviewing, and submitting the necessary documentation to the Intellectual Property Corporation of Malaysia (MyIPO) and foreign patent offices.
  • Coordinate with clients, inventors, and technical experts to ensure all applications accurately reflect the innovation and comply with jurisdiction-specific requirements.
  • Track and respond to Office Actions or examination reports within stipulated deadlines, ensuring smooth prosecution progress.

2. Patent Drafting and Technical Review

  • Assist in drafting patent specifications, claims, and abstracts that accurately represent the invention and meet formal legal requirements.
  • Review and refine drafts for clarity, novelty, and scope of protection, liaising closely with inventors or R&D personnel to ensure technical accuracy.
  • Conduct internal quality checks to maintain consistency and precision in documentation.

3. Patent Searches and Advisory Work

  • Conduct novelty and prior art searches to assess the patentability of new inventions.
  • Prepare detailed search and analysis reports, highlighting potential conflicts and providing recommendations for improvement.
  • Offer strategic advice to clients on IP protection, portfolio development, and patent filing strategies in line with business goals.

4. Client Relationship Management

  • Serve as a key point of contact for clients, ensuring timely communication and updates on the status of applications.
  • Provide clear guidance on procedural requirements, timelines, and associated costs.
  • Maintain strong, long-term relationships built on trust, professionalism, and service excellence.

5. IP Portfolio and Deadline Management

  • Maintain accurate and up-to-date records in the patent management system, tracking case status, deadlines, and renewal dates.
  • Ensure compliance with internal SOPs and client-specific protocols for case handling and data confidentiality.
  • Proactively manage deadlines and anticipate upcoming actions to avoid lapses or missed filings.

Requirements

  • Bachelor's degree in Engineering, Science, Biotechnology, Chemistry, Physics, or related technical field.
  • Minimum 3–5 years of experience in patent prosecution, drafting, or IP portfolio management.
  • Solid understanding of Malaysian patent law, PCT procedures, and major international patent systems (USPTO, EPO, JPO, CNIPA).
  • Strong proficiency in English (written and spoken); additional language skills (Bahasa Malaysia, Mandarin, or Japanese) are advantageous.
  • High attention to detail with strong organizational and analytical abilities.
  • Excellent interpersonal skills and ability to communicate with clients and colleagues from diverse technical backgrounds.
