Key Responsibilities:

1. Recruitment & Staffing

  • Manage the end-to-end recruitment process up to job advertisement, screening, interviewing, selection, onboarding and offboarding.
  • Create and post job advertisements across various online job portals.

2. Payroll & Benefits Administration

  • Oversee monthly payroll processing, ensuring accuracy in salary computation, allowances, deductions, overtime, incentive and statutory contributions (EPF, SOCSO & EIS).
  • Manage and verify overtime, claims, and attendance records before payroll submission.
  • Ensure timely payment of salaries and statutory remittances.
  • Administer employee benefits including leave, medical claims and other entitlements.
  • Maintain confidentiality and accuracy of all payroll-related data and documentation.

3. Employee Relations & Discipline

  • Serve as the main point of contact for employee relations, grievances, and disciplinary issues.
  • Advise management on appropriate disciplinary actions in line with company policy and the Employment Act 1955.
  • Prepare and issue show-cause letters, warning letters, and other disciplinary documents.
  • Conduct domestic inquiries when necessary and ensure fairness in process.
  • Promote a positive working culture through open communication and engagement initiatives.

4. HR Policies, Compliance & Administration

  • Ensure all HR activities comply with labor laws, statutory requirements, and company regulations.
  • Review and update HR policies and procedures periodically.
  • Prepare HR letters such as confirmation, increment, promotion, and termination letters.
  • Manage HR-related correspondences, filing systems, and documentation.
  • Ensure proper record-keeping and confidentiality of employee information.

5. Performance Management

  • Support department heads in setting performance goals and KPIs.
  • Review appraisal results and prepare performance reports for management.

6. Training & Development

  • Develop and implement a training calendar covering internal and external courses.
  • Source and evaluate training providers, comparing proposals, course content, and costs.
  • Coordinate with external agencies such as HRD Fund (HRDF) for training approvals, grants, and claims.

7. HR Reporting & Analysis

  • Prepare regular HR reports including absenteeism, headcount, and payroll summary.
  • Maintain and update employee databases and HR systems accurately.

8. Health, Safety & Welfare

  • Ensure workplace safety practices are implemented in compliance with regulations.

9. Other Duties

  • Assist in audits or inspections by government authorities (e.g., JTK, SOCSO& EPF).
  • Participate in HR projects or system upgrades as assigned.
  • Supervise and guide junior HR staff where necessary.
  • Perform any other duties assigned by management from time to time.
  • Liaise with department heads to understand manpower requirements and prepare job descriptions.
  • Coordinate onboarding, induction, and orientation programs for new hires.
  • Ensure recruitment processes align with company policies and budget approvals.
  • Report damaged, lost, or malfunctioning items promptly for repair or replacement.
  • Monitor and control asset movements between departments or branches.
  • Ensure employees return company property upon resignation, transfer, or termination.
  • Update asset records promptly upon new purchase, transfer, or disposal.

Requirements:

  • Bachelor's Degree in Human Resource Management, Business Administration, or related field.
  • Minimum 5 years of working experience in HR operations, with at least 2 years in a senior or supervisory role.
  • Good knowledge of the Employment Act 1955 and other relevant labor legislation.
  • Proficient in Microsoft Office and HR/payroll systems.
  • Strong interpersonal and communication skills with the ability to handle confidential matters.
  • Proactive, organized, and detail-oriented with a high level of integrity.

Pay: RM3, RM4,200.00 per month
