We are seeking a proactive and detail-oriented, to support our daily operations and ensure efficient workflow within the team. The ideal candidate will be a strong multi-tasker with excellent organizational skills and the ability to manage various administrative duties.
Key Responsibilities:-
Daily Operations
- Customer & Service Management: Communicate with customers via phone, check their service reminders, and update their accounts after invoices have been issued.
- Administrative Support: Manage various administrative tasks, including checking and organizing purchase invoices and labour codes.
- Financial Handling: Conduct daily petty cash tallies and reports.
Weekly Tasks
- Reporting: Responsible for downloading and submitting the Statement of Account and Invoice to the Dealer.
- Financial & Team Reporting: Submit the Weekly Sales Report to ACCOUNT TEAM.
- Attendance Management: Send employee attendance records and thumbprints to the appropriate team when requested.
Monthly Tasks
- Reporting: Submit a monthly Outstanding Staff Report (Staff discount) to the sub-company.
- Documentation: Handle and submit quotations as requested by the Service Advisor.
- Financial Handling: Submit receipts and payment vouchers to the ECW ADMIN/ACCOUNT TEAM as needed.
- Ad Hoc Tasks when needed.
Requirements:-
- Minimum SPM or equivalent.
- At least 1-2 years of work experience in an administrative or clerical role is an advantage.
- Experience in the automotive or service industry is a bonus.
- Computer literate: Microsoft Office/ Word, Excel.
- Skilled in both digital and physical document management.
- Proficient in basic accounting and financial tasks such as handling petty cash and preparing expense reports.
- High attention to detail and the ability to work with accurate data.
- Excellent communication skills, both verbal and written, for interacting with customers and colleagues.
- The ability to manage time and effectively prioritize tasks.
- Can work independently with minimal supervision.
- Proactive attitude in identifying and solving problems.
- Integrity and discretion in handling sensitive information, especially related to finances and staff.
- Capable of working in a fast-paced environment and managing multiple tasks at once.
- Experience in the automotive industry will be considered an advantage
Job Types: Full-time, Permanent
Pay: RM1, RM2,000.00 per month
