Job description
MM Matrix Integrity is looking an executive to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
Ultimately, should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
ROLE & RESPONSIBILITIES
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly
- Recruitment process
- Training administration - To handle student training application, apply & maintain HRDF claims and evaluation form.
- Maintain updated training records on master listing & Finance shared folder as well as filing.
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Maintain the office condition and arrange necessary repairs
- To update and maintain office policies and procedures, and ensure they are implemented appropriately
- Liaise with facility management vendors, including cleaning, catering, and security services
- Plan in-house or off-site activities, like parties, celebrations, and conferences
- Identify opportunities for process and office management improvements, and design and implement new systems
THE IDEAL CANDIDATE
- Bachelor's degree in business administration, communications, or a related field
- Previous work experience in an administrative/office management role
- Must have exceptional attention to detail
- Strong organizational and time management skills, and the ability to prioritize
- Excellent communication and interpersonal skills
- Strong problem-solving skills and analytical abilities
- Proficient with Microsoft Office and Google products
