GENERAL PURPOSE OF THE JOB

The intern will assist in documentation, data management, and coordination of procurement activities, ensuring smooth and efficient purchasing operations in compliance with company policies. This internship offers hands-on experience in procurement administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive:

Key Responsibilities

  • Assist in preparing and processing purchase requisitions (PRs) and purchase orders (POs) in the system.
  • Support document control — filing, scanning, and maintaining procurement records (quotations, invoices, supplier correspondence, contracts).
  • Update and track procurement data, supplier lists, and delivery schedules.
  • Coordinate with suppliers and internal departments to follow up on quotations, deliveries, and documentation.
  • Assist in monitoring invoice verification, goods receipt, and payment status.
  • Help ensure compliance with procurement procedures and approval workflows.
  • Support the team in preparing reports, summaries, and presentation materials.
  • Perform general administrative duties such as, handling correspondence, and maintaining databases.

Other Responsibilities:

  • Perform other duties as assigned to support the efficiency of the Procurement function.

MINIMUM QUALIFICATIONS

  • Currently pursuing or recently completed a Diploma or Bachelor's degree in Business Administration, Supply Chain Management, or related field.
  • Strong attention to detail, accuracy, and organizational skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) or Google Workspace.
  • Good communication and coordination skills.
  • Ability to handle multiple tasks and maintain confidentiality.
  • Eager to learn and contribute in a fast-paced environment.
