Job Summary

The Administrative Officer is responsible for providing comprehensive administrative and operational support to ensure smooth day-to-day functions in a live seafood business environment. This includes handling documentation, coordinating logistics, managing records, supporting finance-related tasks, and ensuring timely communication between suppliers, logistics, and sales teams.

Key Responsibilities

Administrative Support

  • Manage daily office operations, filing systems, and correspondence.

  • Prepare and process purchase orders, invoices, and delivery notes.

  • Maintain accurate supplier, customer, and inventory records.

  • Ensure proper documentation for shipments, import/export activities, and customs clearance.

  • Coordinate office and operational supplies, including packaging materials and logistics equipment.

Operations & Logistics Coordination

  • Support logistics arrangements for live seafood deliveries and shipments.

  • Liaise with cold storage facilities, transporters, and suppliers to ensure timely operations.

  • Assist in monitoring stock movement and updating management on inventory status.

  • Work closely with quality control and warehouse teams on product handling and compliance.

Finance & Reporting

  • Handle petty cash, billing, and assist in basic bookkeeping.

  • Use Auto Count system for data entry, inventory, and accounting-related tasks.

  • Prepare administrative and operational reports for management review.

Qualifications and Experience

  • Diploma or Bachelor's Degree/ Diploma in Business Administration, Logistics, or related field.

  • Specialized Training: Computer literate; proficiency in Microsoft Office (Excel, Word, Outlook).

  • Knowledge of Auto Count software will be an added advantage.

  • Good command of English, Bahasa Malaysia, and Mandarin.

Job Type: Permanent

Pay: RM2, RM3,500.00 per month
