Job Responsibilities

  1. Greet patient and attending them according to their needs.

  2. Make sure all facilities in the office are in good condition.

  3. Carry out administrative duties:

  4. Ordering supplies, calling & receiving phone calls

  5. Prepare weekly and monthly report.

  6. Overdue Payment, Inventory, Patient Record, Courier Record

  7. Process daily IN/OUT items/parcels including reverse pick-up if needed.

  8. Arranging appointment for audiologist at branch.

  9. Liaise with funder if there's any query regarding documents or payment.

  10. Assisting audiologist in smoothing work with department or patient.

  11. Maintaining records or files for branch keeping.

  12. Prepare documents:

  13. Quotation, Official Receipts, Office Memo

  14. Liaise with supplier to follow up regarding any pending, query or urgent orders.

  15. Hearing aids, ear-mould, hearing aids repair/service, hearing aids accessories

  16. Process daily outgoing and ingoing emails.

  17. Maintaining office cleanliness including pantry, prayer room and toilet.

  18. Keep record of every transaction for branch.

  19. Payment from funder and customer/patient.

  20. Ensure all orders are always ready for audiologist before sending and fit the hearing aids to patient or hospital.

  21. Be ready / Standby for urgent request from audiologist/superior for any help.

  22. Represent or assisting audiologist to hospital, branch event.

  23. Liaise with patient regarding appointment, payment or any query from audiologist or hospital.

  24. Request document with operation teams

  25. Delivery order, invoice and purchase order

  26. Follow up overdue payment with funder

Qualifications:

  1. Good communication skills;

  2. Self-motivated and independent

  3. Interpersonal and organizational skills

  4. Ability to work with people at all levels

  5. Strong ability to multitask, prioritize and manage time effectively

  6. A team player

Requirements:

  1. At least SPM graduates

  2. Required language(s): Bahasa Malaysia, English

  3. At least 1 year of working experience in Customer Service (physically)

  4. Candidate must possess own transport

  5. Able to work on Saturday

  6. Familiar with any system and outlook mails.
