Administration of Programmes:

· Provide effective and efficient administrative support and services for the running of programmes and ensure smooth operations of the Schools.

· Prepare and distribute timetables for teaching and learning activities accurately and timely.

· Prepare the student handbook and other relevant materials necessary for the conduct of teaching and learning activities.

· Prepare student groupings for small-group learning activities.

· Monitor students' attendance, where applicable.

· Monitor faculty attendance at learning activities and inform the relevant Dean where necessary (of cases on tardiness and absenteeism).

· Coordinate the in-course assessments for the programmes assigned.

· Coordinate the appointment and confirmation of part-time and visiting lecturers.

· Provide timely and accurate handling of internal and external communications; including writing minutes of important meetings such as the Curriculum and Examination Committee (CEC) meeting.

· Update and maintain a well organised paper and electronic filing system for the programmes assigned.

· Coordinate matters related to students participating in attachments, rotations, selectives and field/study trips.

· Arrange transport for students for learning activities, where necessary.

· Liaise with faculty members and other staff, including those at Clinical Schools, to ensure smooth running of teaching activities.

· Assist in managing grievances and complaints from students and parents effectively.

· Assist in data collection for reports and other documents for reporting and planning purposes.

· Assist in the preparation of the annual academic calendar of programmes.

· Assist in the implementation of project activities.

Financial Administration and Support:

· Manage claims submitted by faculty members (full-time and part-time), and ensure relevant supporting documents are attached for timely processing of claims.

· Maintain systematic and up-to-date paper and electronic accounting files.

· Assist with budget preparation and monitoring of costs and expenditure for all teaching and learning activities.

Human Resources Administration and Support:

· Collate and provide accurate data on faculty teaching workload.

· Assist in the training of new full-time and part-time administrative staff.

The incumbent may be required to work long hours as and when required, including outside normal University operating hours.

Other duties as and when assigned from time to time by the Assistant Manager, Academic Support or Head, Academic Services.

Job Types: Full-time, Contract

Contract length: 24 months

Pay: RM2, RM4,500.00 per month
