Role Purpose

Leasing Assistant supports the leasing team in the administrative and operational functions of leasing retail space within a shopping mall. This role ensures smooth coordination between tenants, the leasing manager, and other departments, helping to streamline processes and maintain accurate leasing documentation and records.

How You'll Make an Impact

  • Manage end to end process for issuing LOR, LOF, Renewal & façade agreement then processing the documents with the approval from Leasing Managers and Head of Mall.
  • Ensure all the tenants adhere to the terms of the Letter of offer, Façade Agreement and Mall Guidelines.
  • Track & properly record & update mall team on Letter of offer & Façade Agreement progress by following up with tenants, Leasing Managers, Mall Managers, Fit Out, Contracts & Credit Control Team, by maintaining all information in the trackers & update in the weekly mall leasing meeting.
  • Ensure factsheets, vacant lot tracker and layouts are accurate and updated weekly according to tenant in and out for each Mall.
  • Prepare summary of details for new malls and update leasing team, fit out team and contract team.
  • Respond to tenant inquiries and follow up on documentation or information request.
  • Ensure tenants sign back the Letter of offer, pay the deposit and sign the tenancy agreement with confirm handover date.
  • Find efficient and accurate ways of working with new tenants and contract department.
  • Minimize bad debt through strong relationship with tenants.
  • Coordination of work permit and documentation for tenants.

What You'll Bring to The Role

  • A recent fresh graduate with a bachelor's degree in any field.
  • Strong communication and interpersonal skills.
  • Eagerness to learn and grow professionally.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite or relevant tools.
