Job Descriptions:

  1. Overall

  2. To provide overall administrative support to the superior to ensure that the department is maintained in an effective, up to date and accurate manner.

  3. Marketing & Promotions

  4. Liaise closely with the exhibitors and tenants to ensure that all documentations such as agreements or contracts are properly documented and filed up.

  5. Coordinate and inspect the on-going exhibits, advertising display and merchandise by the involved tenants or exhibitors to ensure that they comply with the company's standard requirements.
  6. Handle matters related to collection and refund of security deposits and the relevant documentation.

  7. Advertising & Public Relations

  8. Support the superiors in liaising and coordinating with advertising agencies, press, printing companies, etc. on the creation and generation of various promotional and PR collaterals such as press advertisements, mailers, flyers, posters, brochures, email blasts, etc. with the aim of promoting and creating strong awareness on the mall.

  9. Handle the relevant correspondences and documentation which may include media booking, visual advertisement confirmation, etc.

  10. Events Management

  11. Support the superiors in executing and coordinating a variety of marketing, promotion and thematic events which include creative concept and ideas to enhance the shoppers' traffic to the mall.

  12. Assist in seeking sponsorships and participations from tenants if so required.
  13. Provide support and assistance to the superiors in various in-house events or promotional activities such as taking photos or videos, distributing of brochures, content forms, free gifts, relevant items, etc. to shoppers during the events. Assist in explaining to shoppers if there are doubts about promotions or programs.

  14. Marcom Procurement

  15. Assist the superiors in simple sourcing and purchasing jobs for Marcom procurement, e.g. quotations, comparison of prices and placing of orders.

  16. Responsible of the generation of Purchase Requisitions (PRs), Purchase Orders (POs) processing and administration of invoices for all procurement works which include checking, tallying, and data key-in to System as well as preparation of relevant documentation and reports.

  17. System Administration

  18. Handle administrative works and processes in SAP system, etc.

  19. Ensure that the process is done in compliance with DOA and SOP.
  20. Ensure completion of the relevant documentation and tracking.

  21. Marcom Inventory

  22. In-charge of the inventory of Marcom redemption stock and assets.

  23. Responsible for the counting and storage of Marcom redemption stock supplies and assets. Administer the relevant documentation to ensure that the records are tallied.

  24. Work Permits & Job Memos

  25. Issue work permits to external parties such as tenants and exhibitors.

  26. Coordinate with internal parties such as the Operations team for technical and security supports in the Marcom events which include issuance of job memos.

  27. Others

  28. Provide support to superior in other documentation works related to Marcom as well as compilation and preparation of monthly Management Reports such as ACG Reports, system updates, Balanced Score Card (BSC) Updates, etc.

  29. Perform general administrative duties such as typing, filing, photocopying, faxing, mailing, etc.
  30. Coordinate meetings and record or compile minutes of meetings.
  31. Attend to the incoming calls for the Department Manager or Executives during their absence.
  32. Ensure that the office is clean and tidy at all times. Perform housekeeping on a regular basis.
  33. Perform any other duties, which may be assigned or directed by the line of report from time to time.

Job Requirements

  • Professional Certificate/Diploma/Advance Diploma in Business Studies, Administration, Management, Mass Communications, Advertising or Media or equivalent.
  • Minimum of 2 years' experience in the related field.
  • Knowledge of Marcom functions such as events management or marketing would be an added advantage.
  • Good command of both written and spoken English and Bahasa Malaysia.
  • Computer literate with good knowledge of Microsoft Office applications.
  • Honest, reliable and self motivated.
  • Possess a mature and responsible attitude to work.
  • Pleasant in personality with good interpersonal and follow-up skills.
  • Systematic and well organized. Demonstrate thoroughness in the work and attention to details.
  • Be able to work under minimum supervision with sense of responsibility and urgency.
  • Self-driven and able to work within tight deadlines.
  • Willing to put in extra hours and/or work on weekends when required.

Job Type: Full-time

Pay: RM2, RM3,500.00 per month
