Job Summary:

The Spare Parts Clerk is responsible for receiving, storing, issuing, and controlling spare parts and materials used in maintenance and production operations. This role ensures accurate inventory levels, proper documentation, and timely availability of parts to support equipment reliability and minimize downtime.

Key Responsibilities:

  • Receive and inspect incoming spare parts, materials, and supplies.
  • Verify part numbers, quantities, and specifications against purchase orders and delivery notes.
  • Properly label, store, and organize parts in the warehouse or storage area according to company standards.
  • Maintain accurate inventory records in the parts management system (manual or digital).
  • Issue spare parts to maintenance staff or departments based on approved requests or work orders.
  • Conduct periodic stock counts and reconcile discrepancies with system records.
  • Monitor stock levels and report reordering needs to the supervisor or procurement team.
  • Assist in preparing purchase requisitions for replenishment of parts and consumables.
  • Maintain cleanliness and orderliness of the storage area.
  • Keep records of parts usage, transfers, returns, and obsolete items.
  • Coordinate with maintenance and procurement teams to ensure timely availability of required parts.
  • Comply with safety, quality, and company policies in all operations.

Qualifications and Requirements:

  • High school diploma or equivalent.
  • Minimum of 1–3 years' experience in spare parts, inventory, or warehouse management.
  • Basic knowledge of mechanical, electrical, or automotive components (depending on industry).
  • Proficient in Microsoft Office.
  • Strong organizational and record-keeping skills.
  • Attention to detail and accuracy in data entry.
  • Good communication and teamwork abilities.
  • Ability to lift and move moderate weights and work in a warehouse environment.

Preferred Skills:

  • Familiarity with procurement and logistics procedures.
  • Experience in spare parts cataloging and coding.
  • Basic understanding of maintenance operations.

Working Conditions:

  • Warehouse or workshop environment.
  • May involve standing, lifting, and moving parts for extended periods.

Job Types: Full-time, Permanent
