We are seeking an Operations Coordinator who excels at facilitating operational activities, coordinating resources, and improving processes. In this role, you will act as the central point of coordination for all operational matters, working closely with various departments to maintain efficiency and effectiveness.

‍Process Coordination:

  • Oversee Daily Operations:‍
  • Monitor and coordinate daily activities to ensure operational efficiency.
  • Ensure adherence to standard operating procedures (SOPs).‍
  • Process Improvement:‍
  • Identify areas for operational enhancement and implement improvements.
  • Collaborate with teams to streamline processes and eliminate bottlenecks

‍Resource Management:

  • ‍Allocate Resources Effectively:‍
  • Manage scheduling and workload distribution among staff.
  • Coordinate the availability and maintenance of equipment and materials.‍
  • Inventory Control:‍
  • Monitor inventory levels of supplies and consumables.
  • Coordinate procurement and restocking to prevent shortages.

Communication and Liaison:

  • ‍Facilitate Interdepartmental Communication:‍
  • Act as a point of contact between different departments to ensure alignment.
  • Communicate operational updates and changes effectively to all stakeholders.‍
  • Vendor and Partner Coordination:‍
  • Coordinate with external vendors and service providers as needed.
  • Manage service agreements and monitor vendor performance.‍

Data Management and Reporting:

  • ‍Operational Data Analysis:‍
  • Collect and analyze data on operational performance.
  • Prepare and present reports on key metrics and KPIs.‍
  • Forecasting and Planning:‍
  • Assist in forecasting operational needs based on data trends.
  • Contribute to strategic planning efforts with actionable insights.‍

Administrative Support:

  • ‍Documentation and Record-Keeping:‍
  • Maintain accurate records of operational activities and transactions.
  • Ensure compliance with regulatory requirements and company policies.‍
  • Support Management:‍
  • Assist operations managers with planning and executing operational strategies.
  • Coordinate meetings, prepare agendas, and document minutes.

Problem-Solving:

  • ‍Address Operational Issues:‍
  • Identify and resolve operational problems promptly.
  • Implement preventative measures to avoid recurrence of issues.‍
  • Escalation:‍
  • Recognize when issues need to be escalated to higher management.

Compliance and Quality Assurance:

  • ‍Ensure Operational Compliance:‍
  • Monitor operations to ensure compliance with health and safety regulations.
  • Implement quality control measures to maintain high service standards

Experience:

  • Minimum of 3 years of experience in operations coordination, administrative support, or a similar role.
  • Experience in the retail, hospitality, or service industries is a plus.
