Operations – Senior Executive

Job Summary:

We are seeking a highly organized and results-driven Operations Senior Executive to oversee and manage the day-to-day operations of The Capitol. This role is critical to ensuring the building operates efficiently, safely, and in line with brand standards. The ideal candidate will have experience in facilities management, vendor coordination, safety compliance, and tenant relations within the retail or commercial real estate sector.


Key Responsibilities:

Facility & Maintenance Management:

  • Oversee the maintenance of the building's infrastructure, including HVAC, electrical, plumbing, elevators, and housekeeping.
  • Coordinate with maintenance teams and service providers for timely repairs and preventive maintenance.
  • Ensure cleanliness, hygiene, and aesthetic standards of the mall are maintained at all times.

Security & Safety Compliance:

  • Supervise mall security operations, emergency response systems, and fire safety drills.
  • Ensure all safety protocols, statutory and legal compliance (fire NOC, licenses, etc.) are up to date.
  • Conduct periodic safety audits and risk assessments.

Vendor & Staff Management:

  • Manage contracts and relationships with outsourced vendors or service provider (housekeeping, security, maintenance, landscaping, etc.).
  • Monitor vendor or service provider performance, quality of service, and adherence to service level agreements.
  • Lead and supervise the operations team including technicians, supervisors, and support staff.

Tenant Coordination:

  • Serve as the main point of contact for operational needs of Building tenants.
  • Coordinate fit-outs, handovers, repairs, and compliance requirements for Podium and Offices.
  • Handle tenant complaints and service requests promptly.

Operational Efficiency & Cost Control:

  • Prepare and manage annual operations budgets.
  • Identify cost-saving opportunities while maintaining service quality.
  • Ensure efficient utility management (electricity, water, etc.) and sustainable practices.

Daily Operations & Reporting:

  • Ensure smooth day-to-day functioning of Building operations.
  • Maintain logs, MIS reports, incident reports, and maintenance schedules.
  • Collaborate with other departments (marketing, leasing, finance) to support mall-wide initiatives.

Qualifications:

  • Bachelor's degree in Facilities Management, Engineering, or related field.
  • Min. 2 years of experience in mall & office tower operations.
  • Strong knowledge of building systems (MEP), vendor management, and statutory compliance.
  • Excellent leadership, coordination, and problem-solving skills.
  • Proficiency in MS Office and familiarity with facility management software/tools.
  • Ability to work flexible hours, including weekends and holidays if needed.
