Part 1: Handling INCOMING Goods (Receiving)**
- Take Pictures:
* Take clear photos of the outside of the delivered boxes/packages (to show condition on arrival).
* Unbox and take clear photos of the actual items inside.
* You may need to take pictures of any labels, serial numbers, or packing slips.
- Check the Items:
* Compare the physical items you received against the purchase order or delivery note.
* Check for:
* Correct Quantity: Did you receive 10 boxes instead of 12?
* Correct Product: Is it the exact model, color, and size you were expecting?
* Condition: Are the items damaged, broken, or used?
- Result:
* If everything is correct, you confirm the receipt, and the items can be put away in storage.
* If anything is incorrect or damaged, you report it to your manager (and may use your pictures as proof).
Part 2: Handling OUTGOING Goods (Dispatching)- Take Pictures:
* Take pictures of the items before they are packed (to prove their condition before leaving).
* Take pictures of the packaged box (showing the address label is clear and attached).
* This creates a visual record for the customer and for you if there is a dispute later.
- Check the Documents:
* Double-check the invoice or packing slip to ensure it matches the items you are about to send.
* Ensure the shipping address on the document is correct and matches the label on the box.
- Get Payment Done:
* Online Transfer: Use the company's online banking portal or app to receive/confirm payment from the customer based on the invoice amount.
* Touch 'n Go: Process the payment using a Touch 'n Go terminal or app if that is the customer's preferred method.
* Once payment is confirmed, you can hand over the package to the delivery driver.
* To ensure accurate stock monitoring of powder coating materials, maintain proper records, and provide timely inventory reports to support smooth production and purchasing decisions.
