Administrative & Documentation

  • Prepare, compile and maintain collection-related documentation, such as refund forms (RFD), fund transfer requests, credit notes, and outstanding release letters.
  • Support audit and compliance requests by providing accurate case records, collection logs, and evidence of communication.
  • Assist in document checking and validation for payment adjustments, customer disputes, and agency submissions.

Payment & Operation Processing

  • Coordinate with Finance and Auto-Debit teams for refund or reversal cases (e.g. double deductions, blocked cards, failed transactions, overpaid , wrong paid references).
  • Verify transaction data to ensure accuracy before submission for payment or reversal.
  • Track and follow up on pending claims or fund movements until fully resolved.

Communication & Coordination

  • Liaise with internal departments (Finance, Compliance, Careline, Auto Debit and IT) on collection and refund – related matters.
  • Coordinate with external agencies for document submission, customer confirmation, or account verification.
  • Handle basic customer administrative queries related to refund or document verification (not collection calls).

Compliance & Record Control

  • Ensure all administrative work complies with company policy and internal collection protocols (CCP, SOP, SST rules, etc.)
  • Maintain proper filing (hardcopy / digital) and confidentiality of customer data.
  • Support internal and external audits by providing required evidence and documentation accurately and promptly.

Requirements:

  • Diploma / Bachelor's Degree in Business Administration, Accounting, or related field. Fresh graduates with good organizational skills may also be considered.
  • Minimum 1–2 years of experience in administrative or finance-related work (preferably in credit/collection).
  • Strong administrative and coordination skills with attention to detail.
  • Proficient in Microsoft Excel, Google Sheets, and internal system platforms
  • Ability to multitask and manage document flows under tight deadlines.
  • Good communication and teamwork skills to coordinate across departments.
  • Basic understanding of rental collection flow and payment processes.
  • Accuracy and timeliness of document processing and system updates.
  • Compliance with SOP and audit requirements (zero non-compliance findings)
  • Timely closure rate of refund and fund transfer cases.
  • Responsiveness and support efficiency to the Collection and Finance teams.
