Overall Responsibility:

The Document Control Clerk is responsible for the creation, control, maintenance, and distribution of all bakery manufacturing documents. This ensures all departments have access to the most up-to-date and accurate information for production, quality control, and regulatory compliance.

Specific Duties:

  • Document Creation and Control:
  • Create and maintain a document management system for bakery production documents (recipes, formulations, production schedules, cleaning procedures, etc.).
  • Develop and implement document control procedures, including version control, revision tracking, and approval workflows.
  • Ensure all documents comply with company policies and regulatory requirements (HACCP, food safety standards).
  • Document Distribution:
  • Distribute controlled documents (electronic or paper) to relevant departments (production, quality control, sanitation).
  • Train employees on accessing, using, and understanding controlled documents.
  • Track document distribution and maintain records of who has access to each document.
  • Document Maintenance:
  • Update documents as needed based on changes in ingredients, processes, regulations, or company policies.
  • Archive obsolete documents according to company policy.
  • Conduct periodic audits to ensure document control procedures are followed.
  • Additional Tasks:
  • Assist with document retrieval requests from various departments.
  • Maintain a filing system for bakery-related records (production logs, quality control reports, etc.).
  • May participate in internal audits or inspections related to document control.

Required Skills and Qualifications:

  • Strong organizational skills and attention to detail.
  • Proficiency in document management systems and software (e.g., Microsoft Office Suite).
  • Understanding of bakery manufacturing processes (preferred).
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Familiarity with food safety regulations (HACCP) a plus.

Job Type: Full-time

Pay: RM2, RM2,500.00 per month
