The Operations Executive (Education Division) is responsible for providing administrative, operational, and compliance support to ensure smooth daily operations across all preschools and childcare centres within the group. This role supports the Operations team in monitoring centre performance, coordinating documentation, ensuring regulatory compliance, and assisting with implementation of corporate policies and initiatives. The Operations Executive works closely with Centre Principals, the Operations Manager/General Manager, and other HQ departments to uphold quality, safety, and service standards.

Key Responsibilities

Operational Support

  • Assist in the coordination of day-to-day operational activities across preschools and childcare centres.
  • Support the Operations Manager/GM in monitoring centre performance, KPI tracking, and monthly reporting.

  • Coordinate communication between HQ and centres, ensuring timely dissemination of information.

  • Assist in managing centre resources, including inventories, maintenance requests, and vendor coordination.

Administrative Support

  • Prepare and maintain documentation, reports, databases, and filing related to centre operations.
  • Handle administrative tasks such as memos, letters, circulars, meeting minutes, and follow-up actions.
  • Assist in organizing training, briefings, audits, and operational events.

Regulatory & Compliance

  • Ensure all centres comply with statutory requirements, licensing standards, and internal SOPs.

  • Assist with documentation for licensing, renewals, inspections, and compliance submissions.

  • Support the execution of internal audits and follow-up on corrective actions

Quality Assurance

  • Help monitor health, safety, hygiene, and security standards across centres.

  • Assist in collecting and analysing feedback from parents, staff, and principals to support improvement efforts.

Other Duties

  • Participate in operational projects, process improvements, and HQ initiatives.
  • Provide support during emergencies, special events, or other assigned duties.
  • Undertake any other tasks assigned by the General Manager or Operations Manager.

Job Requirements

Qualifications

  • Diploma or Degree in Business Administration, Education, Early Childhood Education, Management, or related field.
  • Fresh graduates may apply; experience in preschool/education operations is an added advantage.

  • Skills & Competencies

  • Strong administrative and organisational skills with attention to detail.

  • Good communication skills (written and verbal).

  • Ability to coordinate multiple tasks and meet deadlines.

  • Basic understanding of early childhood centre operations or willingness to learn.

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.

  • Critical thinking, problem-solving, and analytical skills.

Responsible, reliable, and able to maintain confidentiality.

Willing to travel occasionally for centre visits or operational assignments.
