Position Summary:

The Admin Executive will play a pivotal role in supporting the Sales Manager and project teams through day-to-day coordination and administrative management. This role ensures smooth internal operations, timely documentation, and efficient communication across departments. The ideal candidate is organized, proactive, and able to handle multiple tasks while maintaining a high level of professionalism.

Key Responsibilities:

  • Manage coordination and administrative tasks such as issuing Quotation, Purchase Orders, handling invoices, Delivery Orders, document filing, and ensuring smooth workflow.

  • Oversee daily office operations including document filing, printing, and sorting in alignment with project needs.

  • Coordinate, prepare, and compile all project reports including submission documents/tenders, product materials, etc.

  • Monitor and ensure strict adherence to project report/tender submission deadlines, including checking, binding, packing, and preparing outgoing submissions.

  • Liaise with internal and external stakeholders such as consulting firms, and local authorities for licensing matters and documentation.

  • Ensure timely processing of business licenses such as MOF, CIDB, etc.

  • Prepare monthly claims for general worker wages and staff expenses.

  • Manage inbound and outbound project documents, promptly addressing inquiries or complaints to satisfaction.

  • Additional responsibilities may be assigned as needed.

Qualifications and Skills:

  • Proven experience as an Administrative Executive or similar role, with working knowledge of SQL preferred.

  • Strong organizational and time management skills, adept at multitasking and prioritizing tasks effectively.

  • Excellent verbal and written communication skills, capable of professional interaction with diverse teams and stakeholders.

  • Design-based experiences and handling tender are highly advantageous.

  • Possession of a valid driver's license and a clean driving record.

  • Ability to work independently and collaboratively, demonstrating initiative and problem-solving skills.

  • Attention to detail and accuracy in administrative tasks and documentation.

  • Flexibility and adaptability to accommodate changing project requirements and deadlines.

Job Type: Full-time

Pay: RM2, RM4,000.00 per month
