Role Summary

A high-trust, high-impact role supporting the Managing Director in strategic, operational, and interpersonal domains. This position goes beyond administration — it is about enabling sharper decisions, stronger relationships, and seamless execution across all facets of the business. The ideal candidate is proactive, detail-oriented, and thrives in a fast-moving, founder-led environment.

Key Responsibilities

Strategic & Administrative Support

  • Accompany the Managing Director to key meetings, events, site visits, and industry functions.
  • Observe discussions, capture key insights, and ensure timely follow-up on action items.
  • Act as a liaison and gatekeeper between the MD and internal or external stakeholders, maintaining professionalism and confidentiality.
  • Coordinate daily communications — screen and draft emails, calls, and messages with discretion and tact.
  • Manage the MD's schedule with precision, balancing strategic priorities, operational demands, and personal commitments.
  • Plan and manage complex travel itineraries, logistics, and accommodations.

Analytical & Project Support

  • Conduct market research, policy reviews, and stakeholder analyses to support strategic decision-making.
  • Summarize findings into concise reports, memos, or presentation decks.
  • Prepare meeting materials, proposals, and documentation with clarity, accuracy, and a polished presentation.
  • Track and drive progress across multiple ongoing initiatives, ensuring accountability and timely delivery.
  • Take ownership of special projects or delegated tasks with minimal supervision.

Confidential & Personal Support

  • Handle highly confidential and sensitive information with utmost discretion and integrity.
  • Support personal tasks or errands where necessary, ensuring the MD's focus and peace of mind.

Knowledge and Skill Requirements

  • Minimum 3 years of experience in an Executive Assistant, Coordinator, or Business Analyst role within a fast-paced environment.
  • Excellent communication skills in English and Mandarin (both written and spoken).
  • Strong research, writing, and presentation skills.
  • Highly organized, proactive, and emotionally intelligent.
  • Tech-savvy and proficient in Microsoft Office, Google Workspace, and digital scheduling tools.
  • Able to work flexible hours and travel as required.
  • Discreet, mature, and grounded in handling confidential or sensitive matters.
  • Experience supporting founder-led or property-related businesses is an advantage

Job Type: Full-time

Pay: RM5, RM8,000.00 per month
