Role Description

This is a full-time for a Project Management Officer located in Setapak. The PMO will oversee and manage projects day-to-day, including planning, monitoring, and coordinating and documenting all project activities. Responsibilities include project management, budgeting, and maintaining effective communication with clients.

Key Responsibilities:

1. Project Planning Support

  • Assist the Project Manager in preparing project plans, timelines, and activity schedules.
  • Gather project requirements and assist in developing project documentation.

2. Coordination and Monitoring

  • Support the Project Manager in coordinating tasks among team members.
  • Track project progress, identify potential delays, and assist in developing corrective actions.
  • Organize and coordinate project meetings, including preparing agendas and minutes.

3. Project Documentation Management

  • Prepare and maintain project documents such as progress reports, risk registers, issue logs, and change requests.
  • Ensure proper filing and version control of all project documentation (both physical and digital).

4. Reporting and Communication

  • Prepare regular project status reports for the Project Manager and management review.
  • Assist in internal and external communications related to project progress.

5. Financial and Administrative Support

  • Help monitor project expenditures and prepare basic financial reports.
  • Support administrative tasks such as processing purchase requests, invoices, and documentation.

6. Compliance and Process Support

  • Ensure all project activities comply with organizational policies and procedures.
  • Assist in internal project audits and quality reviews.

Qualifications

  • Project Management, Program Management, and Budgeting skills
  • Strong organizational, communication, and reporting skills
  • 1–3 years of experience in project support, administration, or coordination
  • Experience with project management software (e.g., MS Project, Asana)
  • Basic understanding of project management methodologies (Agile, Waterfall, PRINCE2, etc.)
  • Bachelor's Degree or Diploma in Business, IT, Management, or related field
