Key Responsibilities:

International Student Visa & Immigration Support

  • Check and prepare documents for new and renewal visa applications to the Ministry of Education (MOE) and follow through the approval process.
  • Maintain data and records related to student pass applications (e.g., passport collection, date of entry, visa approval status, and payment records).
  • Ensure full compliance with KDN and Immigration Department regulations.
  • Administer and submit all required documents, including passports, to Immigration for visa endorsement, transfer of endorsement, extension, cancellation, overstay, and special pass applications.
  • Record and monitor passport/document submission dates and track the expiry dates of student passes and passports.
  • Stay up to date with student visa policies and procedures; lead updates and communicate any changes clearly to all stakeholders.
  • Advise students, parents, and relevant parties on visa matters, renewals, and immigration requirements.

Pre-arrival & Onboarding

  • Coordinate arrival arrangements (e.g., airport pickup, accommodation).
  • Guide new students through orientation, boarding check-in, and timetable setup.
  • Assist with documentation and school policies briefing.

Student & Administrative Support

  • Monitor student attendance and academic progression to ensure visa compliance.
  • Support internal audits and external authority inspections when needed.

Requirements:

  • Minimum a Diploma in relevant discipline.
  • Preferably more than 2 years of working experience in related field or relevant industries.
  • Good understanding of current trends and issues in international students' and policies related to international students.
  • Good liaison experience with Foreign Embassies, High Commissions, Immigration Department pertaining to students' visa applications.
  • Able to liaise effectively with parents / guardians from diverse backgrounds
  • Excellent interpersonal and communication skills in English and Bahasa Malaysia.
  • Good interpersonal and communication skills.
  • Maturity, integrity and resourcefulness are essential.
  • Experience working in an international school environment.
  • Must possess own transport.
