SUMMARY OF JOB SCOPE


To receive, record and reply to all direct enquiries to the Sales Department for weddings, events, etc., (MICE) that are received through all direct channels to the hotel and maximise the conversion of these leads / enquiries into confirmed business.

The Event Executive will also be responsible for on-day direct contact for all events within the hotel liaising directly with Organizers on the day of events, to release the various Sales Team members to focus on their primary role of sales calls, generation of new business, accounts, and maintaining all key accounts.


DUTIES AND RESPONSIBILITIES:

  • Receiving and responding to visitors to Sales Office.
  • Answering and processing all incoming telephone calls in accordance with established procedures, while maintaining professionalism and telephone courtesy.
  • Handle all direct sales and customer enquiries / leads achieving the expected lead conversion rate to maximize events confirmed and revenues to achieve expected contribution to the Sales & Marketing Budgeted Revenue Target.
  • To assist the Senior / Sales Managers to carry out follow ups initial and final details all through the event booking procedure before executing the Banquet Event order.
  • To be aware of contracted clients and appropriate rates.
  • Maintain all Sales Office files.
  • Prepare regular and special reports as directed by the Head of Sales & Marketing.
  • To assist to maximize the usage of all facilities within the hotel to maximize in revenue generating.
  • Ensures that function blockings and records are kept accurately and are up to date.
  • Where applicable, collect deposit and finalize all event and room accommodation arrangements.
  • Ensure credit policy is adhered to for all bookings and that all payments are received in the correct timeframe. Highlight every issue immediately to your supervisor.
  • Ensure clear and timely communication with relevant departments on groups, events and special guest requests.
  • To liaise closely with the Operations Teams to ensure that accommodation rooms are block, function room set up requirements meet the client's requirement.
  • To meet and greet the organizer upon arrival and run through their program thoroughly.
  • To send out amendment immediately when there are any changes during the event.
  • Coordinate client needs with relevant staff and departments.
  • Responsible for ensuring all bills are opened correctly and settled accurately accordingly to the event order and send immediately to account department after function over.
  • Attend daily sales briefing and share information on daily task.
  • Submit a weekly review of all sales activities & recap sheets.
  • Ensure that the Sales Office premises are well maintained with the respect to cleanliness and safety.
  • To requisition supplies from within the hotel for function needed.
  • To ensure all function will be well taken care of in a professional manner and must be successfully completed to total Customer satisfaction.
  • Check all scheduled assignments to determine if all areas are being covered.
A) Assist with the sales efforts of the department, including:

  • In the absence of other Sales Personnel, provide explanations of hotel accommodations and services, and secure information on the requirements of the prospective client.
  • Conduct property tours in the absence, or at the request of the Senior / Sales Manager.
B) Assisting as required in the development of new business by:

  • Maintain current and thorough information on the hotel's facilities and services.
  • Attending regular or all Sales & Marketing meetings and taking the Minutes of these meetings.
  • Completing any special projects requested by Management or by the Head of Sales & Marketing.
  • Efficiently carry out any additional requests from management.
  • Any other tasks needed, from the Head of Sales & Marketing.
