Responsibilities:

  • Manage and organize daily administrative tasks, including scheduling meetings, handling correspondence, and maintaining office supplies.
  • Support the team by preparing reports, presentations, and data entry.
  • Handle incoming calls and manage inquiries professionally.
  • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Assist in the preparation of regularly scheduled reports and meeting materials.
  • Maintain a filing system for important and confidential company documents.
  • Perform other clerical duties such as filing, photocopying, and transcribing.
  • Assist HR with recruitment processes, including scheduling interviews and maintaining employee records.
  • Support the accounting department with basic bookkeeping tasks, such as processing invoices and expense reports.

Requirements:

  • Proven experience as an administrative assistant or in a related role.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Basic knowledge of HR processes and practices.
  • Basic accounting experience, including familiarity with bookkeeping and financial reporting.
  • Excellent time management skills and ability to prioritize work.
  • Attention to detail and problemsolving skills.
  • Strong organizational skills with the ability to multitask.

Mandatory:Proficiency in Mandarin, English, and Malay, with the ability to communicate effectively with stakeholders, including teams in China.

  • High School diploma; additional qualifications as an Administrative Assistant or Secretary will be a plus.
