About the role:

The QA Assistant is responsible for ensuring the seamless coordination of quality assurance activities within our organization. This role encompasses various tasks, from daily product status updates to managing samples for sensory evaluations.

The incumbent will play a pivotal role in maintaining quality standards, generating Certificates of Analysis (COA) in a timely manner, and overseeing external lab testing processes.


Key responsibilities:

  • Maintain daily updates on the product status, ensuring accurate and timely records.
  • Collaborate with executives on a weekly basis to address onhold status issues and update product status accordingly.
  • Manage samples for sensory evaluations, updating results to the team, and securely storing information in the shared drive.
  • Generate Certificates of Analysis (COA) on time, ensuring compliance with specifications. Attach external test reports as required.
  • Submit daily requests for external lab tests, including intercompany tests. Follow up on COA receipt, ensuring accuracy and compliance. Request official copies with letterhead and save in a shared folder.
  • Identify and follow up with external laboratories on any outofspecification (OOS) issues. Communicate for retest or request corrections as needed.
  • Arrange and send preshipment samples according to customer requirements.
  • Manage 3rd party laboratories, handle costing for additional testing, and monitor the budget.
  • Support in identifying suitable external laboratories and testing methods for adhoc or new testing.
  • Maintain details of external lab testing methods, accreditation, and costing for team reference. Update the Excel sheet for any new testing.
  • Provide support in documentation for traceability during mock recalls or audits.
  • Assist executives in troubleshooting product issues, addressing customer complaints, and conducting trial run/pilot plant sample testing.
  • Submit finished products for annual contaminant testing.
  • Key in Total Solid results in SAP.
  • Support in sending samples through courier services.

Qualifications and skills:

  • Minimum Diploma in Science, with a preference for those in Food Science.
  • Proficient in Microsoft Excel and possess basic computer skills. Strong command of English, both verbal and written.
