Job Overview

Hexagon's Asset Lifecycle Intelligence division is seeking an Order Management Representative to join our team in Malaysia

In this key role, you will take charge of processing and managing customer orders, ensuring they are delivered accurately and on time. You will have the chance to work closely with cross-functional teams, handle software license requests, and resolve any order-related discrepancies.

As a crucial part of our team, you will directly support the sales function, maintain order accuracy, and provide top-notch customer service. You will help streamline the order-to-cash process, ensuring everything runs smoothly, and assist with renewal processing. Your ability to deliver a seamless, hassle-free experience for our customers will play a vital role in boosting operational efficiency and customer satisfaction.

Responsibilities
  • Facilitate efficient and accurate processing of orders ensuring pricing, quantities and terms are accurate per established business policies.
  • Management of customer database, generation of license keys and quick order processing.
  • Coordinates with departments regarding order status, shipping dates, prices, product availability, and software licensing.
  • Ensures all corporate export policies are followed, which includes performing Export Screening and processing Export Checklists.
  • Distribution of all software orders. Work directly with the customer to ensure their orders are shipped to them without delay.
  • Maintains accurate records for all Accounts within Salesforce.
  • Maintains detailed and accurate sales records to show evidence of compliance to audit requirements associated with tasks.
  • Works with more experienced team members to resolve complex issues.
  • Demonstrates advanced knowledge in a variety of required tasks, processes, and procedures.
  • Interact with clients for license installation and software upgrade requests.
  • Quality assurance of presentation of physical documentation in tenders.
Education / Qualifications
  • Tertiary qualification in any discipline.
  • 1-3 years of experience in order processing, sales operations, or a related field.
  • Experience with Salesforce or other order processing systems is highly desirable.
  • Strong skills in Excel, Word, and Outlook, with experience in order tracking, reporting, and documentation.
  • Proven ability to process orders accurately while minimizing errors.
  • Ability to identify and resolve order discrepancies efficiently and independently.
  • Strong written and verbal communication skills to liaise effectively with customers, sales teams, and logistics.
  • Capable of handling multiple orders simultaneously while meeting deadlines.
  • Ability to work seamlessly with cross-functional teams.
  • Demonstrates dedication to tasks, follows through on responsibilities, and proactively ensures smooth order management processes.
  • Open to learning new processes, technologies, and industry trends to drive improved efficiency and performance.
