We are seeking a highly organized and detail-oriented individual to join our team as a **General Administrator**. As General Administrator, you will play a critical role in ensuring the smooth and efficient operation of our hub facility. You will be responsible for overseeing various administrative tasks, managing daily operations, and supporting the needs of our team members and customers.

**Meeting Coordination**: Assist in organizing departmental meetings and take meeting minutes. Prepare meeting agendas and distribute relevant materials. Follow up on action items and deadlines from meetings.

**Communication Liaison**: Act as a liaison between the department head and other team members or departments. Disseminate important information and announcements to the department staff. Relay messages, instructions, and updates from the department head to relevant parties.

**Project Coordination**: Assist in project management, including tracking timelines, milestones, and deliverables. Collaborate with team members to ensure project progress and resolve any bottlenecks. Provide status updates on projects to the department head.

**Data and Information Management**: Maintain and organize departmental files, records, and databases. Collect and compile data for reports and analysis. Ensure confidentiality and security of sensitive information.

**Budget and Expense Tracking**: Help monitor departmental budgets and expenses. Assist in processing invoices and expense reimbursements. Provide financial reports and analysis to the department head.

**Human Resources Support**: Assist in recruitment processes, including posting job vacancies and scheduling interviews. Handle onboarding activities for new team members. Maintain personnel records and assist with HR-related paperwork.

**Event Planning and Coordination**: Assist in organizing departmental events, workshops, or training sessions. Coordinate logistics, venue booking, and catering for events.

**Miscellaneous Support**: Conduct research and gather information as requested by the department head. Assist with ad hoc tasks and projects as needed. Prioritize tasks and manage time efficiently to meet deadlines.

**Team Collaboration**: Foster a positive and collaborative work environment within the department. Assist team members with administrative tasks and provide support as required.
- High school diploma or equivalent; _additional education or certifications in business administration or related field is a plus_.
- Proven experience in administrative roles, preferably in an **office**, **co-working space**, or **hub environment**.
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Excellent communication and interpersonal skills, with the ability to interact effectively with team members, customers, and external stakeholders.
- Proficiency in Chinese is an added bonus
- Proficiency in using office software, such as Microsoft Office Suite and database management systems.
- Attention to detail and a high level of accuracy in all work activities.
- Problem-solving skills and the ability to make effective decisions in a fast-paced environment.
- Knowledge of safety regulations and compliance standards in a warehouse or hub setting.
- Flexibility to work occasional evenings, weekends, or holidays as needed.

**Salary**: RM2,800.00 - RM3,200.00 per month
