UTEC is currently seeking to hire a **Personnel Coordinator** on a full-time, permanent basis for their team in Kuala Lumpur, Malaysia.

The Personnel Coordinator is responsible for all travel and logistics ensuring the management and planning of a properly resourced and competent pool of field staff. This position will also provide administration support to the local Operations Team.

**Duties/Responsibilities**
- Liaises with Resources Director to ensure responsibility of skillsets of offshore personnel are in line with project notification and work scopes
- Responsible for all data inputs into personnel tracking software (OBT), Training, and Competency registers, ensuring that personnel are in possession of the necessary current certification required for their discipline/position and updated certificates are uploaded to the UTEC IMS
- Generate Monthly Utilization Reports from OBT or other means for the Projects & Resources Director review, and monitor / highlight perceived Personnel low utilization rates
- Arrange weekly communication meetings with Project Managers (PMs) to support project resources requirements
- Identify, recommend and implement system or procedural improvements
- Have a good knowledge of the core competencies required for offshore disciplines in the global field pool
- Liaise with Intercompany Personnel Coordinators and Resources Team to locate suitable personnel for project
- Liaise with Third Party Manning Agents to locate suitable personnel for projects
- Communicate with field staff to ensure their availability for project
- Pre-Alert field staff prior to travel for work or training
- When required, liaises with Travel provider to schedule flights, arrange visas, hotel and rental car accommodations for all regional employees and provides itineraries in a timely manner
- Work closely with business unit teams to deliver personnel to the vessels in a timely manner
- Perform any other duties or tasks assigned

**Requirements**:

- Previous experience within travel coordination role is essential
- An understanding of the processes required to mobilize and travel personnel to international offshore worksites, including ticketing, visa acquisition, work permits, and inoculations, is crucial
- Must be team-oriented, possess a positive attitude and work well with others
- Proficiency with Microsoft Excel is essential
- Ability to perform tasks and achieve results with a high degree of accuracy and precision
- Ability to work both independently and within teams
- Must hold a valid passport free from status or restrictive conditions that preclude travel to and work in countries where the Company routinely operates
- Requirement to be flexible on working days and hours outside of normal office hours/days, depending on the urgency
