**SCOPE**:
Assist in the effective operation of the Human Resources Department by providing organizational and administrative support.
**RESPONSIBILITIES**:
1. Human Resource Management, Planning & Staffing
- To assist the Human Resources Manager in the smooth and efficient running of the department, ensuring that all the policies and procedures outlined in the Operations Manual are strictly adhered to.
- Keep up with any new or amendments to the Employment Act & Employment regulations.
- Provide professional advice and support to the Human Resource Manager to assist in meeting strategic goals of the establishment.
- To assist HRM in recruitment for the group including screening, shortlisting, and coordinate on the interview arrangement.
- Discussing and establishing job descriptions, qualification requirements and terms and conditions of employment with managers.
- Liaise with Colleges, University and Job Fairs for new recruit.
- Producing reports on hiring plans and strategies.
- Track all staff confirmation, staff transfers, contract renewals, termination & clearance.
- To perform any other task assign by superior or persons assigned by him/her from time to time.
2. Payroll Management & HR Administration
- To process monthly payroll for site workers.
- Check monthly overtime claims, personal claim, attendance and leave records in order to update on any absenteeism, unpaid leave, absconding, resignation and new staff.
- Responsible for employee’s leave management. To ensure that medical certificates and leave forms and report are submitted to HR Manager on a weekly basis.
- Able to liaise with the government departments and ensure compliance with the statutory requirements, such as Labour office, LHDN, ZAKAT, TABUNG HAJI, KWSP, and SOCSO.
- Responsible to keep up to date with HR system upgrades and notify appropriate users accordingly.
- Monitor and maintain office equipment, utilities, office stationeries, pantry supply and maintenance of office premises.
- Monitoring tenancy period of office, company's car road tax insurance, machinery rental such photocopier, plotter and printer machine, yearly permit renewal such as premise license and etc.
- Administer budget for HR operations, prepare monthly and yearly budget for all the inventory and other related admin items.
- Assist in other departments e.g. finance, when required
- Maintaining physical and digital personnel records I.e. personal files and records, attendance, employment contract, employment status, personal details, expenses claim, overtime, leave, etc.
3. Employee Relations
- Assisting in employee relations management to create a conflict free working place and provide recommendations for resolution as required.
- Works closely with management and employees to improve work relationships, build morale, and increase productivity and retention.
- Handle disciplinary matters. Responsible for preparation and follow-up on HR documents such as memos, appointment letters, promotions, confirmation, transfers, termination, show cause and suspension letter.
- Co-ordinate all matters pertaining to group employee insurance scheme and liaises with Insurer coverage and policy. Prepare relevant reports/documents.
- Handling employee’s Socso claims. Preparing related documents for Socso claim & report form to labour department.
- Provide advisory services to employees on matters related to payroll, e-leave and e-claims.
QUALIFICATION STANDARDS
Requirement
- Diploma/Advance Diploma/Degree in Human resources or related courses.
- At least 1+ year Human Resources Experience. Fresh graduate is encouraging.
- Female age between 22-32 years old. (single preferred)
- Possess own transportation.
