Admin Duties:

- Administrative responsibilities involve maintaining the office, including tasks like ensuring cleanliness, managing the pantry, supplies, records, keys, and filing.
- Preparation, record keeping and timely submission of timesheets of personnel and outsourced vendors.
- Assisting Dormitory Managers in preparing rosters for Operations Executive, General Workers, Outsourced Vendors and any other personnel if applicable.
- Liaising with Marketing and managing room assignments and allocations.
- Updating office records includes maintaining information on office personnel, employer contacts.
- Liaising with Marketing to allocate car parks to clients and issuance of car park decals.
- Preparation, record keeping and submissions of finance reports.
- Ensuring catering records are filled accurately and following up on caterers’ payments.
- Security-related miscellaneous tasks, such as photocopying forms, supplying stationery, and updating check-in/out records.
- Ensuring all vendor contracts are valid.
- Invoice and DO acknowledgement and verification.
- Scanning, compiling DO/SR/Invoices for HOTO form for monthly submission to HQ.
- Managing inventory and tracking office supplies.
- Secretariat duties for onsite meetings and preparation of minutes.
- Any other duties as assigned by Dormitory Manager.

Logistic Duties:

- Preparation, updating and record keeping of inventories.
- Raising Service Request and Purchase Request.
- Record keeping and monitoring of PR/SR raised.
- Liaising with Procurement Department to ensure timely closure of all service and purchase requests.
- Assisting Dormitory Manager in monitoring and controlling expenses related to utilities, maintenance, supplies and any other expenses related to site.
- Managing and record keeping of all maintenance and servicing records of facility.
- Ensuring continuity of all servicing and maintenance contracts.
- Finding solutions and making improvements in preventive and corrective maintenance.
- Collating and presenting performance evaluation feedback of all outsourced vendors/contractors to Dormitory Manager.

**Job Types**: Full-time, Permanent

Pay: RM2,600.00 - RM2,800.00 per month

Schedule:

- Monday to Friday
