Reservation Agent

**Duties**
1. Handling advance room reservations determining availability, quoting rates documentation of reservation. In addition, be able to monitor and control during a high occupancy stage that all reservations are “Guaranteed” by a form of payment approved by the Hotel. Ensuring that all correspondence to Guest has clarity that a full charge will be levied if non-materialization is utmost important task during of high or full occupancy. Responsible to answer to Management if forecast-ed “Full House” status is not achieved as what laid priory.
2. Maintains close liaison with secretaries of major companies that do business with the hotel.
3. Be able to type confirmation slip and file reservation slip.
4. Keep record of all hotel’s commercial clients, government clients, Global Distribution System, Central Reservation System, Affiliated appointed Sales Office Internationally / Domestically and any other segment clients.
5. To have a pleasant telephone etiquette when speaking to guest.
6. To be extremely familiar with all rooms’ types, package plans, room rates, promotions, etc. that would be required for performance of daily job function. Strong familiarization to justify rooms configurations/facilities to the request of the respective Group is vital in order to project an accurate room count and maintaining proper rooms inventory.
7. To be fully aware of rooms situation i.e., expected occupancy, VIP arrivals, open date, close date, overbooking or full house status and banquet function.
8. To liaise with sales department closely for group booking ensuring that rooming list is received and billing instruction is clear and precise.
9. To be able to block and assign rooms accordingly to reservation request and daily checking of possible mistakes condone by the Front Desk e.g. Market Segmentation, Source of Business, profiles creation etc. All this has to be rectified on the same day or the very next to clean up the error to facilitate accurate statistic.
10. To be well aware of “Out of Order” rooms and liaise closely with maintenance department if such room is needed for reservation.
11. To ensure sufficient stationery and sufficient stock is maintained.
12. To ensure all forms are sufficient and clean.
13. To be able to send reservation confirmation requests form upon guest request by fax or correspondence.
14. To check daily on reservation with credit term payment mode and follow up on respective undertaking letter. Ensuring that the corporate and government’s credit facilities is approved by General Manager/Financial Controller/ Credit Officer before they check in.
15. To be able to do filing on all various reports as assigned by the management and to produce any month end report as per request from Front Office Manager.
16. To keep track on No-Show reservation, Cancellation and Turn away reservation in proper record.
17. To be able to process advance deposit and draft proper invoice or deposit voucher for guaranteed reservation.
**Requirement**
- Good command of English
- Pleasing personality
- Well verse with property management system system.
- Well verse with reservation direct booking engine.
- Well verse with online travel agent.
- Guest oriented and service minded
- Good communication skill
- 2 - 3 years’ experience in a similar position in a quality operation.
**Job Types**: Full-time, Permanent
Pay: RM2,500.00 - RM3,000.00 per month
